Original job description

Inspired HR is partnering with our client to hire an Office Coordinator who will help keep daily operations organized and support a friendly, professional office team.

This hands-on role goes beyond reception, combining office coordination, administrative support and team activities. We’re looking for someone who takes initiative, asks questions and is happy to pitch in wherever needed. A positive attitude, reliability and pride in supporting others will be key to your success.

This is a full-time position, working in the office five days a week.

What You’ll Be Responsible For

  • Help maintain a welcoming, organized office, including the front desk, shared spaces and kitchen.
  • Coordinate office supplies, stationery, mail and couriers, ensuring correspondence reaches the right people across multiple businesses.
  • Liaise with building management and coordinate facilities requests, parking and office vendors.
  • Organize internal meetings, team lunches, office events and catering, and assist with retreats and related preparations.
  • Coordinate onboarding logistics, including workspaces, equipment, building access and first-day arrangements.
  • Prepare monthly corporate credit card expense reports and organize receipts and supporting documentation.
  • Provide administrative support, including scheduling assistance, document preparation, meeting packages and file management.
  • Support expense administration and payment coordination, keeping records organized and following up on missing information.
  • Assist with special projects and other day-to-day needs as they arise.

What You’ll Bring

  • Approximately two to three years of experience in office coordination, administration or a similar support role.
  • Experience in a corporate office environment; exposure to finance or business administration would be an asset, but industry-specific experience is not required.
  • A proactive approach and the confidence to ask questions, solve problems and follow through.
  • A willingness to help with tasks both large and small.
  • Strong organizational skills, attention to detail and the ability to manage shifting priorities.
  • Clear, professional communication and a friendly, thoughtful approach to working with others.
  • Discretion when handling confidential business, personal and financial information.
  • Comfort using office software, preparing expense reports and maintaining electronic records.

Why This Opportunity

You’ll join a close-knit office of approximately 10–12 people, working alongside a kind, supportive and multicultural team. The environment is professional and generally quiet, with colleagues who value cooperation and dependable support.

The role offers variety, ownership of daily office coordination and exposure to a finance-focused business environment. There is also potential to grow into broader business or finance responsibilities as your skills and interests develop.

The package includes:

  • An annual salary of $60,000.
  • Benefits coverage.
  • Three weeks of vacation.
  • RRSP matching of 2%.
  • Free access to an on-site gym.
  • An office conveniently located near SkyTrain.

Please submit your resume for consideration. This is a confidential search, and further details about our client will be shared as the process progresses.
