Position: Executive Assistant

Job Overview:

We are seeking a highly organized and efficient individual to join our team as an Executive Assistant. As the Executive Assistant, you will provide administrative and secretarial support to the executive team and assist in the smooth operation of the company. This is a full-time, permanent position with opportunities for growth and advancement within the company.

Key Responsibilities:

Manage the executive team's calendars, schedule appointments, and coordinate meetings
Prepare and organize documents, reports, and presentations
Screen and direct phone calls and emails, responding to inquiries and requests as needed
Act as a liaison between the executive team and other departments within the company
Make travel arrangements and prepare itineraries for business trips
Assist with budget management and expense tracking
Maintain office supplies and equipment, ensuring they are well-stocked and in good working condition
Handle confidential information with discretion and professionalism
Complete other administrative tasks and projects as assigned by the executive team

Qualifications

Minimum of 10 years of experience as an Executive Assistant or in a similar role
Excellent organizational and time-management skills
Strong written and verbal communication skills
Proficient in Microsoft Office, Google Workspace and other relevant software programs
Ability to multitask and prioritize tasks effectively
Attention to detail and high level of accuracy
Proactive and able to anticipate the needs of the executive team
Ability to maintain confidentiality and exercise good judgment
Experience in the property restoration or construction industry is an asset
