Document Controller

Location: Vancouver, Canada or Hermosillo, Mexico

Employment Type: Regular, Full-time

Workplace Type: In-Office

Compensation: $55k - $80k annually

About the Role

We are looking for an experienced Document Controller with outstanding communication, organizational, and interpersonal skills to manage all aspects of document and information management across mid-scale capital projects.

Key Responsibilities

· Champion safety leadership and adhere to environmental rules and procedures.

· Lead all aspects of Document Control, implementing Information Management (IM) standards, processes, and tools.

· Manage and maintain electronic document management systems (EDMS) platforms, ensuring accurate classification (document coding), tagging, version control, and document distribution.

· Develop and maintain project IM plans, distribution matrices, and document handover and close-out packages.

· Process Document Transmittals and ensure timely transmittals and approvals within agreed performance targets.

· Conduct regular quality audits and assurance reviews to ensure compliance with internal, client, and regulatory standards.

· Liaise with contractors, project managers, engineers, and external stakeholders on all document control processes.

· Generate and distribute document control reports and pending review status updates to project management.

· Train users on IM tools and procedures, and contribute to continuous process improvement.

Qualifications

· Post-secondary degree or diploma in Business Administration, Library & Information Studies, or a related field.

· 2–10 years of document control experience, preferably in mid-scale capital, infrastructure, mining, or construction projects. Similar fields would be accepted given the right fit.

· Bilingual in English and Spanish is preferred.

· Proficiency in Aconex, SharePoint, ProjectWise, or similar EDMS platforms.

· Strong command of Microsoft Office Suite and Adobe/PDF tools.

· Experience with lifecycle management, regulatory documentation, permitting, and environmental records is an asset.

· Certification in document management or information governance is an asset.

· Self-motivated, detail-oriented, and able to work independently in a fast-paced environment.
