Original job description

What We do:

iQmetrix is a global provider of Interconnected Commerce software solutions for telecom retail. Interconnected Commerce is an AI-native telecom commerce platform that acts as a system of intelligence. It replaces fragmented legacy stacks with a modern, modular operating layer, connecting telcos, retailers, and OEMs into one flow across channels and markets. The result is less complexity, lower cost, and the speed to move ahead.

For 26 years, we’ve been passionate about helping the leading brands in telecom to grow by providing best-in-class software, services, and expertise that enables them to adapt and thrive. Our solutions power $17BN in sales annually, handling nearly 53 million invoices and more than 28 million activations, and are used by more than 370,000 telecom retail professionals across almost 1,000 clients. iQmetrix is a privately held software-as-a-service (SaaS) company with employees in Canada, the U.S., India, and Europe. For more information, please visit www.iqmetrix.com.

How We Do it:

We are on a self-management journey. As we work to move away from the restrictions of hierarchy, teams are building collaborative peer-based networks where there are no bosses. Decisions are meant to be distributed to the people who are best able to make the decisions which means more freedom for individuals to contribute at their highest levels. We are purpose-driven, helping individuals connect to the meaning in their day-to-day work. Additionally, we are currently on the road to building a diverse and inclusive environment. Working at iQmetrix means always looking at ways to be better.

Reports To: Sr. HRIS Analyst

Salary: $55,000 - $65,000 CAD

About the Team:

The People & Culture (P&C) Team at iQmetrix plays a vital role in nurturing our Chrysalis ecosystem. We are committed to establishing a positive and inclusive work environment that attracts and retains exceptional individuals who contribute to Chrysalis' success. Through our focus on equality, fairness, and respect, we design policies and initiatives that promote engagement and work-life balance. Embodying our culture and values, we empower all employees within the Chrysalis ecosystem to reach their full potential, while ensuring the functional scalability required for its continued growth.

About the Role:

As People & Culture Coordinator, you play a critical role in supporting the employee lifecycle, from recruitment to offboarding. You will manage recruiting coordination and scheduling, onboarding, offboarding, HRIS data entry, and day-to-day benefits administration. You will help shape how our team works by contributing to recruiting analytics, automating recruiting and scheduling processes, and partnering with the P&C team on special projects and AI initiatives. By fostering positive relationships with employees, you will help maintain an efficient and supportive workplace, ensuring smooth transitions and effective benefits administration, all while aligning with organizational policies.

Your responsibilities include benefits administration, HRIS updates, employee documentation, onboarding, leave of absence, offboarding, and recruitment coordination for approved hiring. You also help improve how our team works by using approved AI tools and automation to reduce repetitive tasks, while applying care, judgment, and attention to detail when handling employee information and reviewing outputs.

What you’ll be doing:

Supporting employees: Build positive relationships across the organization and provide timely, professional responses to routine questions about benefits, employee records, and P&C processes. Follow through on outstanding inquiries and escalate sensitive or complex matters to the appropriate team member.

Administering benefits: Support the day-to-day administration of U.S. and Canadian benefits programs, including enrollments, changes, and monthly billing reconciliation. Work with employees and providers to investigate discrepancies and resolve routine issues, progressively becoming the primary contact for employee benefits inquiries following training.

Maintaining accurate employee records: Process and verify new hires, leaves, terminations, and employment changes in UKG and related systems. Check information for accuracy and completeness, investigate discrepancies, and coordinate updates in line with company policies and payroll deadlines.

Coordinating employee onboarding: Coordinate required documentation, criminal and reference checks, and setup activities with managers, IT, and payroll. Track outstanding items and help ensure employees receive a welcoming and well-organized start.

Coordinating employee offboarding: Coordinate offboarding activities, including scheduling exit interviews, updating records, arranging hardware returns, and tracking required actions with managers, IT, and payroll. Flag outstanding or time-sensitive items to the appropriate team member.

Coordinating leaves of absence: Track leave dates, prepare documents, and update records in UKG. Work with managers, payroll, and benefits providers to support smooth leave starts and returns.

Preparing and maintaining employee documentation: Prepare employment letters using approved templates, maintain organized and confidential personnel files, and follow up on missing documentation. Track work permit expiry dates and other required records, escalating items requiring review or action.

Supporting data quality and reporting: Assist with routine data checks, benefits reconciliations, and P&C reporting. Identify missing or inconsistent information and work with the Sr. HRIS Analyst and P&C team to address discrepancies.

Improving processes with AI and automation: Help identify repetitive tasks that can be simplified or automated, maintain clear process documentation, and support improvements alongside the Sr. HRIS Analyst and P&C team. Use approved AI tools responsibly, protect confidential information, and review outputs for accuracy before use.

Coordinating approved recruitment: Support the P&C interview team by maintaining candidate records in JazzHR, tracking application statuses, scheduling interviews, and coordinating candidate communications to provide an organized and responsive candidate experience.

Supporting recruiting insights and team projects: Assist with recruiting analytics and reporting, improvements to scheduling and recruiting workflows, and other P&C projects that strengthen team efficiency and the employee experience.

What We’re Looking For:

1-2 years of experience in HR administration, with a focus on recruitment coordination and benefits administration.

Experience with Applicant Tracking Systems (ATS), preferably JazzHR, and Human Resources Information Systems (HRIS), ideally UKG. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Experience with, or a strong interest in, approved AI tools and automation to improve administrative processes, with an understanding of the importance of confidentiality and reviewing outputs for accuracy.

Maintains confidentiality, handles sensitive information discreetly, and demonstrates strong attention to detail.

Exhibits strong analytical, problem-solving, critical thinking, interpersonal, communication, and organizational skills

Results-oriented with a sense of urgency and a positive, collaborative team spirit.

Delivers high accuracy in data and reporting while working independently and managing multiple tasks.

A willingness to learn, and an interest in making everyday processes more efficient.

What We Offer:

Begin your journey with a competitive starting salary!
Enjoy peace of mind with a comprehensive benefits package for you and your entire family.
Embrace work-life harmony with a flexible hybrid working environment, generous vacation and trusted sick leave program.
Invest in your future with our RRSP/401K/PF and Share Ownership plans. What's even better? We offer a match program!
We care about your family, offering maternity, adoption, and paternity leave salary top ups as well as ten “New Baby Days” for all parents welcoming a new child into their life.
Enjoy a “Cultural Day” off annually to celebrate a day of religious or cultural significance.
Give back with up to 6 days of paid time off annually for volunteering or personal learning.
We believe in the value of taking time to refresh, re-energize, and reflect on your career journey. Employees are granted a seven-week sabbatical after every seven years of employment!
