Original job description

Who we are.

While technically we’re an operational consultancy, we don’t like to call ourselves consultants. We’re a collection of engineers, innovators and creators who work with companies across industries to simplify the complex, realize untapped potential, and uncover opportunities. We know that our people are our superpower and loving your Monday to Friday is important to us. We’ve been recognized as one of the top 10 Best Places to Work in Canada for the past 6 years, and number 1 in 2022, which we know has something to do with our culture of rewarding great work with great experiences, fostering rapid career growth, and sharing the success of the business with the whole team.

We are looking for an Administrative Assistant to join our head office team. You'll sit on our Executive Assistant team and own all recruitment scheduling for our People team, playing a key role in creating a seamless interview experience for both candidates and our hiring teams. This role is perfect for someone with strong EA and scheduling skills who thrives on organization, communication, and problem-solving.

While we have a flexible working environment, the successful candidate should expect to spend an average of at least three days a week in person at our Liberty Village office.

What you’ll do.

As an Administrative Assistant, you will:

Own interview coordination end-to-end, including scheduling, managing candidate and interviewer availability across complex and ever-changing calendars, and ensuring a seamless process.
Partner closely with the People team, hiring teams, and the EA team to anticipate needs and keep interviews on track.
Communicate directly with candidates, providing clear information, timely updates, and a strong overall experience.
Ensure accuracy and consistency across interview materials, calendar invites, and candidate records.
Support the planning and execution of Selection Day, the final stage of Isaac’s hiring process, including full-day interviews, workshops, and case studies.
Support the broader People team with day-to-day operations as needed.
Proactively identify and implement process improvements to enhance scheduling and coordination efficiency.

Who you are.

A people person – You have strong interpersonal skills and enjoy interacting with candidates, hiring teams, and colleagues.
Multi-tasker – You’re organized and always one step ahead, allowing you to manage a diverse range of responsibilities and prioritize each task with allotted timelines to complete them effectively and on time.
Trustworthy – You have a ton of integrity and feel confident in your ability to manage sensitive candidate and company information.
Team Player – You love working in a collaborative environment and building strong working relationships with business leaders and peers.
Attention to detail – You’re naturally driven to get the details right - all the time, every time.
Go-getter – When given a task, you can run with it and independently complete it effectively and on time.
Great communicator – You have excellent verbal and written communication skills and bring energy and professionalism into interactions with internal and external stakeholders.
Adaptable – You’re comfortable working in an ever-changing environment, adjusting to shifting priorities, and reacting to changes in real time.
Tech-savvy – You know your way around commonly used computer software and scheduling tools and are a fast learner.
Looking to grow – This role has the potential to grow alongside our business, and you’re excited to grow with it.

What you bring to the role.

1-2 years of experience as an Executive Assistant, Administrative Assistant, or in a similar admin or scheduling role.
Experience managing multiple calendars and coordinating meetings across several stakeholders.
Highly proficient in Microsoft Office including Outlook.
Proven time management and organizational skills with exceptional attention to detail.
Excellent verbal and written communication skills.
Discretion and confidentiality.
Familiarity with recruiting software or an applicant tracking system is a plus, but not required.

Why work for us.

You’ll be joining a small team at a fast-growing company that dedicates a lot of effort to career development, which means lots of opportunity for learning and growth
The work we do has a tangible, meaningful impact on our clients
5 weeks of vacation for everyone at the company, plus frequent company development and social events
A comprehensive benefits package 100% covered by us, including generous annual wellness allowances
You’ll work with good humans who genuinely enjoy spending time together
You’ll have great work-life balance – no working on weekends
We’ve been recognized as one of the top 10 Great Places to Work in Canada for the past 6 consecutive years!
