Position Overview
The Scientific Education Program Administrator reports to the Manager, Scientific & Education Programs and is responsible for the strategic coordination, project management, and successful delivery of ISCT's Scientific Pillar initiatives. The role serves as a key liaison for ISCT's scientific committees, ensuring committee initiatives, projects, and deliverables are effectively planned, executed, and aligned with the Society's strategic priorities, mission, and organizational goals. Working closely with the Director, Science, Regulatory & External Affairs, the position supports the Chief Scientific Officer and Scientific Leadership Committee in advancing the Society's scientific agenda, strengthening ISCT's influence across the sector, and maximizing value and impact for members.
The selected candidate will lead the coordination and execution of committee-driven initiatives and cross-functional projects that support ISCT's scientific priorities. This includes supporting the development and delivery of the ISCT Annual Meeting Roundtable Program in collaboration with the Manager, Scientific & Education Programs and Head Office liaisons, as well as overseeing Scientific Pillar events, including the annual Scientific Signature Series and other educational programs. The role is responsible for managing project timelines, stakeholder engagement, and committee deliverables, ensuring initiatives are completed successfully, achieve intended outcomes, and contribute to advancing the Society's mission, strategic objectives, and leadership within the cell and gene therapy sector.
As Scientific Education Program Administrator will regularly communicate with external and ISCT internal stakeholders, the selected candidate is expected to have excellent communication skills and to operate with the professionalism required when working with global key opinion leaders. To succeed in this role, the candidate must be proficient in Microsoft Excel, have excellent attention to detail and time-management skills, and be resourceful in pursuit of objectives.
Salary band: $60,000-65,000 depending on relevant experience.
This position will be located at ISCT Head Office in downtown Vancouver, British Columbia. Candidates must be able to legally work full time in Canada (Canadian citizenship, permanent residency, work permit, etc.). SPECIFIC RESPONSIBILITIES
Scientific Committee Management
- Serve as the primary Head Office contact for scientific committee members, providing timely and professional support to global scientific leaders.
- Coordinate monthly meetings for ISCT’s standing scientific committees, including scheduling, agendas developed with Committee Chairs, minutes, action items, and follow-up.
- Maintain committee membership and term records, and coordinate invitations, renewals, and transitions.
- Support committees in the development, implementation, and monitoring of Annual Operating Plans, ensuring alignment with ISCT's Strategic Plan and the delivery of meaningful member value.
- Share committee insights and developments with relevant Head Office colleagues and help ensure committee activities follow the Scientific Committee Charter and ISCT governance policies.
Scientific Leadership Support
- Support the Chief Scientific Officer and Scientific Leadership Committee, including meeting preparation, materials, records of decisions, and follow-up on priorities.
- Gather research and data to inform scientific priorities and medium- to long-term planning.
- Coordinate input from scientific committees and Head Office teams to advance initiatives across ISCT’s Scientific Pillar.
Annual Meeting Roundtable Program
- Support the development and execution of the ISCT Annual Meeting Roundtable Program in partnership with the Manager of Scientific Programs.
- Coordinate contributions from scientific committees and all relevant Head Office liaisons, maintaining a shared view of topics, speakers, timelines, and required deliverables.
- Track planning decisions and follow-up to help ensure roundtables are delivered as planned.
Scientific Pillar events and deliverables
- Coordinate the development and execution of Scientific Pillar events, including the annual Scientific Signature Series and ad hoc events, working with scientific leaders and relevant Head Office teams.
- Support planning and delivery of scientific committee events held alongside the Annual Meeting, including workshops and joint symposia as assigned.
- Provide coordination and back-end support for scientific webinars and other educational activities.
- Support scientific committees through the Cytotherapy publication process, as needed.
- Keep scientific committee webpages current and work with the Director and Marketing & Communications team to promote scientific outputs to relevant audiences.
BASIC QUALIFICATIONS
- Demonstrate an ability to manage large data sets and pull reports clearly and concisely highlighting relevant data and trends
- Post-secondary degree required (equivalent professional experience will be considered). Business or science background will be considered an asset.
- Highly organized with strong attention to detail and quality
- Strong time-management skills and ability to handle multiple competing priorities
- Excellent communication skills, both written and verbal. Experience in customer facing roles will be considered an asset
- High degree of professionalism and strong business acumen when interacting with stakeholders and executing workflows

- Proficient in Microsoft Suite
