We are seeking a motivated and detail-oriented Junior Accounts Receivable & Collections Specialist to join an established accounting team within a stable, well-established group of companies in the transportation industry.
This is an excellent opportunity for an early-career collections professional to build their experience in accounts receivable, customer account management, and payment recovery while working alongside an experienced accounting team.
The successful candidate will be responsible for following up on outstanding invoices, communicating with customers regarding overdue balances, documenting payment commitments, and helping resolve routine billing and account discrepancies. The role requires strong communication skills, organization, and the confidence to follow up persistently on outstanding payments while maintaining positive customer relationships.
Approximately 70-80% of the workday will involve communicating with customers by phone and electronically. Training will be provided on the company's proprietary TEDS transportation management and accounting system.
Key ResponsibilitiesAccounts Receivable & Collections: Monitor assigned customer accounts, review outstanding balances, and follow up on overdue invoices to support timely payment.
Customer Communication: Make outbound collection calls and send electronic follow-ups to customers regarding outstanding balances, payment timelines, and overdue invoices.
Payment Tracking: Record customer responses, document payment commitments, monitor promised payment dates, and follow up when payments are not received as expected.
Aging Report Review: Review AR aging reports, identify overdue accounts, prioritize follow-ups, and escalate accounts requiring additional attention.
Invoice & Statement Management: Resend invoices and statements, provide account details to customers, and supply supporting documentation when required.
Customer Portal Administration: Upload invoices and documentation to customer portals, monitor submission status, and assist with routine portal or access issues.
Billing Issue Resolution: Investigate basic invoice discrepancies and payment delays, working with internal accounting and operations teams to resolve issues.
Account Maintenance: Maintain accurate customer account records, collection notes, correspondence, and payment information.
Reporting: Assist with basic Excel or CSV reporting, account reconciliations, and tracking outstanding receivables.
Team Collaboration: Work closely with colleagues in accounting and operations, escalating complex disputes or collection challenges to senior team members as needed.
Systems & Technology: Learn and use the company's TEDS transportation management and accounting system to manage customer accounts and collection activities.
1-3 years of experience in accounts receivable, credit and collections, billing, or a related accounting position.
Some direct experience with collections or following up on outstanding customer payments is required.
Strong verbal and written communication skills, with the confidence to contact customers about overdue invoices and request payment professionally.
Ability to maintain positive customer relationships while consistently following up on outstanding balances.
Basic understanding of accounts receivable, payment terms, invoice processing, and accounting principles.
Familiarity with AR aging reports or a willingness to learn how to review and prioritize outstanding accounts.
Working knowledge of Microsoft Office, including Excel and the ability to work with basic reports or CSV files.
Strong organizational skills, attention to detail, and the ability to manage multiple customer accounts and follow-up deadlines.
A proactive, dependable attitude with a willingness to learn, ask questions, and take direction from senior team members.
Willingness to work onsite in Woodbridge during the initial training and onboarding period.
Experience in transportation, logistics, freight, or a similar industry.
Familiarity with accounting software, ERP systems, billing platforms, or customer invoicing portals.
Experience assisting with invoice disputes, account reconciliations, or payment investigations.
Previous experience in a customer-facing role involving payment follow-ups or account management.
A permanent, full-time opportunity with an established group of companies.
A stable and respectful work environment with an experienced, supportive accounting team.
Hands-on training and the opportunity to develop skills in collections, accounts receivable, and customer account management.
Exposure to transportation billing, customer portals, and internal accounting and operational processes.
A flexible paid-time-off approach offering 20 days for vacation or sick time.
Company-sponsored team-building activities, department outings, sporting events, team dinners, and onsite food-truck events.
Potential for a hybrid or remote arrangement after successful onboarding and demonstrated proficiency, subject to business requirements and management approval.
The ideal candidate is an organized, personable, and persistent professional who has a foundation in accounts receivable or collections and is looking to grow their skills. They are comfortable speaking with customers, following up on outstanding payments, keeping accurate records, and working through routine account issues.
They should be eager to learn, receptive to coaching, and capable of managing an assigned portfolio of accounts with increasing independence over time. Previous transportation industry experience is an asset but is not required.
