Senior Accounts Receivable & Collections Specialist

Location: Woodbridge, Ontario
Schedule: Monday to Friday, 9:00 a.m. - 5:00 p.m.
Compensation: $60,000-$75,000 annually, with flexibility for an experienced senior candidate
Employment Type: Permanent, Full-Time

Position Overview

We are seeking an experienced Senior Accounts Receivable & Collections Specialist to join an established accounting team within a stable, well-established group of companies in the transportation industry.

This role is ideal for a proactive collections professional who can independently manage a portfolio of customer accounts, drive timely payment of outstanding invoices, resolve complex billing issues, and maintain strong customer relationships. The successful candidate will take a hands-on approach to collections while supporting broader account investigations and collaborating with internal teams to resolve payment delays and discrepancies.

Approximately 70-80% of the role will involve direct customer communication by phone and electronically. The senior hire will also have the opportunity to take on additional responsibilities in issue resolution, process support, and coordination with operations to improve collection efficiency and reduce the workload across the accounting team.

Key Responsibilities

  • Accounts Receivable & Collections: Manage an assigned portfolio of customer accounts, monitor outstanding balances, review AR aging reports, and proactively follow up on overdue invoices to ensure timely payment.
  • Customer Communication: Conduct frequent outbound collection calls and electronic follow-ups, communicate payment expectations, secure payment commitments, and maintain professional customer relationships while addressing overdue balances.
  • Aging & Account Management: Analyze aging reports, prioritize accounts based on risk and delinquency, monitor payment schedules, document collection activities, and escalate accounts requiring additional attention.
  • Invoice & Statement Management: Resend invoices and account statements, provide customer-specific aging details, and supply supporting documentation to facilitate payment.
  • Billing & Dispute Resolution: Investigate invoice discrepancies, billing disputes, delayed payments, and accessorial-charge concerns, coordinating with internal departments to identify root causes and implement solutions.
  • Customer Portal Support: Upload invoices and supporting documentation to customer portals, troubleshoot submission or access issues, and follow up to ensure invoices are properly received and processed.
  • Cross-Functional Collaboration: Work closely with accounting, operations, and other internal stakeholders to resolve account issues, improve collection outcomes, and minimize delays in the payment cycle.
  • Reporting & Documentation: Maintain accurate collection notes, payment commitments, account records, and basic Excel or CSV reports to support AR visibility and follow-up activities.
  • Process Improvement: Identify recurring collection challenges, recommend improvements to account management practices, and support investigations that help reduce outstanding receivables.
  • Systems & Technology: Use the company's proprietary TEDS transportation management and accounting system to manage customer accounts and collection activities. Training will be provided.

Required Qualifications

  • 3-5 years of relevant experience in accounts receivable, credit and collections, or a similar role with direct responsibility for collecting outstanding payments.
  • Demonstrated experience managing a portfolio of customer accounts and independently following up on overdue invoices.
  • Strong verbal and written communication skills, including the ability to conduct frequent outbound collection calls and confidently request payment.
  • Ability to balance assertive collections practices with professionalism, diplomacy, and positive customer relationships.
  • Working knowledge of AR aging reports, payment terms, collection strategies, and basic accounting principles.
  • Experience investigating invoice discrepancies, resolving billing disputes, and coordinating with internal teams to address payment delays.
  • Proficiency in Microsoft Office, particularly Excel, including the ability to generate, review, and format basic reports or CSV files.
  • Strong organization, attention to detail, follow-through, and the ability to prioritize a high volume of accounts and competing deadlines.
  • Comfort learning new accounting, billing, ERP, or proprietary software systems.
  • Willingness to work onsite in Woodbridge during the initial training and onboarding period.

Preferred Qualifications

  • Experience in transportation, logistics, freight, or a related industry.
  • Familiarity with accessorial charges, freight billing, customer invoicing portals, and transportation management systems.
  • Experience managing complex customer accounts and investigating recurring billing or payment issues.
  • Experience supporting process improvements or helping less-experienced team members with collections and account resolution.

What We Offer

  • A permanent opportunity with an established group of companies and a stable, respectful working environment.
  • A collaborative accounting team with experienced colleagues and long-standing employee tenure.
  • The opportunity to take ownership of an assigned customer portfolio and contribute directly to cash flow and collection performance.
  • Broader exposure to account investigations, billing resolution, and cross-functional operational processes.
  • A flexible paid-time-off approach offering 20 days for vacation or sick time.
  • Company-sponsored team-building events, department outings, sporting events, team dinners, and onsite food-truck events.
  • Potential for a hybrid or remote arrangement after successful onboarding and demonstrated proficiency, subject to business requirements and management approval.

Ideal Candidate Profile

The ideal candidate is a confident, solutions-oriented collections professional who is comfortable spending most of the workday communicating with customers, securing payment commitments, and resolving outstanding account issues. They demonstrate persistence without damaging customer relationships, take initiative when investigating discrepancies, and can independently manage competing priorities.

A candidate who combines strong collections fundamentals with investigative ability, sound judgment, and a willingness to take on broader responsibilities will be particularly well suited to this senior position.
