Role Description The Air Import Coordinator is a full-time, on-site role based in Mississauga, ON. This position is responsible for managing daily air import operations, including coordinating inbound shipments, preparing and reviewing documentation, and ensuring compliance with customs and regulatory requirements. The coordinator communicates with airlines, freight forwarders, customs brokers, and customers to track shipment status, resolve issues, and provide timely updates. Typical tasks include data entry into logistics systems, billing and invoice verification, maintaining accurate records, and monitoring shipments to ensure on-time delivery. The role also involves assisting with customer inquiries, supporting internal teams with import-related information, and contributing to process improvements in air import workflows.

OBJECTIVE

The Air Import Agent is responsible for ensuring proactive, timely, accurate and quality operational policies, systems and processes are followed to ensure every client shipment is tracked and communicated.

The Air Imports Agent should be able to develop the Air Imports function in line with Company Vision, its objectives and industry standards, by working with other employees and seeking continuous improvement to enable the company to achieve its long-term objectives.

KEY ACCOUNTABILITIES

· Achieve Department and personal objectives for the year.

· Continue nurturing relationships and supporting the growth of existing and new customers.

· Ensure Air Imports is functioning consistently with ITN values, strategies and objectives.

· Provide superior service to customers in all aspects of Air Imports.

· Keep customers informed with booking confirmations and pre-alerts.

· Arrange collection and transportation of goods with overseas agents.

· Communicate shipment updates and pick-ups with overseas agents.

· Issue manifests, delivery requests and releases.

· Prepare profit share calculations and negotiate rates with carriers, agents and related vendors.

· Ensure billing and collections are completed in a timely and systematic manner.

Review and approve vendor/agent debit and credit notes.

KNOWLEDGE AND SKILLS REQUIRED

· Superior knowledge of the logistics industry and the key players within the industry nationally and globally.

· Manage high pressure or crisis situations calmly.

· Recognize how to maximize profits.

· Knowledge of Air freight operations, documentation, regulations and equipment.

TECHNICAL SKILLS

Proficiency with computers, ability to work in Windows applications, especially Microsoft Office
Knowledge of Cargowise System

BUSINESS STRATEGY SKILLS

Excellent interpersonal skills with the ability to encourage a team-based approach and develop excellent relationships with customers and ITN Departments.
A logical mind with the capacity and flexibility to overcome difficult problems creatively.
Good organizational skills together with the ability to prioritize functions.

Ability to work well with all levels of management, executive leadership and support staff.
Ability to manage high-pressure or crisis situations calmly.
