Original job description

The Package Coordinator supports the coordination, procurement, and delivery of equipment and material packages for mining projects. This position works closely with engineering, procurement, project controls, vendors, suppliers, and construction teams to ensure packages are progressing in accordance with project requirements, schedules, budgets, and quality standards.

Responsibilities:

Package Coordination

Coordinate the development and execution of equipment and material packages from procurement through delivery.
Maintain package schedules, trackers, and status reports to monitor progress and key milestones.
Coordinate technical, commercial, and project requirements across engineering, procurement, vendors, and construction teams.
Track package deliverables, approvals, outstanding actions, and required documentation.
Identify potential delays, scope changes, and issues and escalate them to the appropriate project team members.

Engineering & Vendor Coordination

Coordinate the flow of technical information between engineering teams and vendors.
Distribute specifications, drawings, datasheets, and other technical documentation to relevant stakeholders.
Track vendor document submissions, engineering reviews, comments, and approvals.
Coordinate responses to vendor technical queries and Requests for Information (RFIs).
Assist with resolving technical and commercial interfaces between equipment packages and other project disciplines.

Procurement Support

Support the preparation and administration of Requests for Proposals (RFPs), purchase orders, and procurement documentation.
Coordinate with procurement to monitor package status from bid through award, manufacturing, inspection, and delivery.
Assist with bid evaluations and maintain procurement comparison and tracking information.
Monitor vendor commitments and ensure required documentation and deliverables are received in accordance with purchase order requirements.
Coordinate with suppliers to maintain delivery schedules and address outstanding requirements.

Schedule & Cost Tracking

Maintain package schedules and monitor progress against project milestones.
Track procurement activities, engineering deliverables, manufacturing progress, inspections, and delivery dates.
Support package cost tracking and identify changes that may impact project budgets.
Prepare regular package status updates and reports for project management and project controls.
Maintain action item and risk registers for assigned packages.

Logistics & Delivery

Coordinate equipment and material delivery requirements with vendors, procurement, logistics, and site teams.
Track manufacturing, inspection, shipment, and delivery milestones.
Assist with coordinating site delivery requirements and documentation.
Support the resolution of delivery issues, delays, and discrepancies.

Documentation & Quality Assurance

Maintain accurate and organized package documentation throughout the project lifecycle.
Ensure required vendor documentation is complete, current, and properly distributed.
Support document control processes and maintain package records in accordance with project requirements.
Assist with quality inspections, Factory Acceptance Testing (FAT), equipment inspections, and other package-related activities as required.
Support package closeout and handover to construction, commissioning, and operations teams.

Interdisciplinary Coordination

Liaise with engineering, procurement, project controls, construction, commissioning, and site teams to coordinate package requirements.
Participate in project coordination meetings, vendor meetings, and package review meetings.
Communicate package status, risks, outstanding actions, and schedule impacts to relevant stakeholders.
Support coordination of interfaces between equipment packages and other project systems.
