What this job involves:

The Assistant Facilities Manager supports day-to-day facilities operations for a portfolio of office locations in the Montreal region. Partnering closely with the Facilities Manager, vendors, and workplace stakeholders, you will help ensure safe, efficient, and well-maintained office environments that support business operations and employee experience. This role is ideal for an organized, proactive, and customer-service-oriented professional who thrives in a fast-paced, multi-site environment and is passionate about creating exceptional workplace experiences.

What your day-to-day will look like:

Support daily facilities operations across multiple office locations in the Montreal area, coordinating maintenance requests and ensuring timely resolution of facilities-related issues.
Conduct routine site inspections to ensure operational, safety, and appearance standards are maintained, while supporting office moves, furniture installations, and workplace projects.
Coordinate with vendors and service providers including janitorial, maintenance, security, and other building services teams, monitoring performance and managing work orders.
Serve as a facilities contact for employees and office leadership, responding to requests and concerns in a timely and professional manner.
Assist with health and safety inspections, audits, compliance activities, and emergency preparedness procedures.
Support budget tracking, purchase orders, invoice reconciliation, and maintain accurate facilities documentation and operational logs.
Support continuous improvement initiatives and operational projects that enhance workplace experience.

Required Qualifications:

Bachelor's degree or diploma in Facilities Management, Business Administration, or related field.
3–5 years of facilities coordination or facilities management experience.
Familiarity with commercial building operations and vendor coordination.
Strong organizational and multitasking abilities with excellent customer service and communication skills.
Proficiency with Microsoft Office applications and facilities management systems.
Ability to travel regularly between office locations within the Montreal region.
Knowledge of workplace health and safety practices in Quebec.

Preferred Qualifications:

Experience supporting corporate office environments and multi-site office portfolios.
Bilingual proficiency in French and English.
Strong understanding of workplace operations and employee experience.
Demonstrated interest in professional growth within facilities management and workplace operations.
Strong interpersonal and stakeholder management skills with proven ability to work independently and collaboratively.

Work Shift: Standard work schedule Monday through Friday during regular business hours; occasional after-hours support may be required for operational needs or special projects.

Le gestionnaire adjoint des installations soutient les opérations quotidiennes des installations pour un portefeuille d’immeubles à bureaux dans la région de Montréal. En collaborant étroitement avec le gestionnaire des installations, les fournisseurs et les parties prenantes du ou des sites, vous vous assurerez que les environnements de bureau sont adéquats et sécuritaires et bien entretenus afin d’offrir les meilleures conditions pour les opérations commerciales et l'expérience des employés. Assurer un soutien aux opérations quotidiennes des installations pour un portefeuille d’immeubles à bureaux de la région de Montréal, et coordonner les différentes demandes des locataires et/ou propriétaires et veiller à la résolution rapide des problèmes liés aux installations.
Effectuer des inspections régulièrement des immeubles assignés afin de garantir le maintien des normes opérationnelles, de sécurité et de propreté. Apporter son appui lors des aménagements ou déménagements de bureaux, l'installation de mobilier et les projets de reconfiguration des espaces.
Assurer la coordination des fournisseurs et les prestataires de services, y compris les équipes de conciergerie, de maintenance, de sécurité et autres services d’immeubles. Contrôler la performance et gérer la priorisation des travaux.
Agir à titre de personne-contact aux installations auprès des occupants des immeubles assignés, répondre aux demandes et préoccupations de manière rapide et professionnelle.
Contribuer activement aux inspections liées à la santé et sécurité, aux audits, aux activités de conformité et aux processus et mesures d'urgence des immeubles assignés.
Contribuer au suivi budgétaire, à l’émission des bons de commande, au rapprochement des factures, et assurer le maintien de la documentation et journaux opérationnels liés aux installations.
Soutenir les initiatives d'amélioration continue et les projets opérationnels.

Qualifications essentielles :

Certificat ou diplôme en gestion des installations, administration des affaires ou domaine connexe.
3 à 5 ans d'expérience en coordination ou gestion des installations.
Bonne connaissance des activités opérationnelles d’immeubles ou bâtiments commerciaux et de la coordination avec les fournisseurs.
Solides capacités organisationnelles et multitâches, compétences en service client et en communication.
Maîtrise des applications Microsoft Office et des systèmes de gestion des installations.
Disponible pour les déplacements réguliers entre les différents immeubles assignés de la région de Montréal.
Connaissance des pratiques de santé et sécurité au travail au Québec.
