Original job description

O’Leary Co-op is looking for a Finance and Administration Coordinator to support the financial and administrative work behind its grocery store, feed mill, and gas bar. This is a hands-on role for someone who enjoys keeping records accurate, following up on details, and working with people across the business.

You’ll work closely with the General Manager and department managers to keep payroll, reporting, banking, and office processes running smoothly. You’ll also have the opportunity to learn the Co-op’s systems and grow with the organization.

Key Responsibilities

Process biweekly payroll for approximately 50–60 employees, including reviewing time records and resolving missed or incorrect swipes.
Review banking activity, monitor accounts, and confirm that cheques have cleared.
Gather information from department managers and follow up to keep financial reporting on track.
Prepare and review financial reports, identify errors or discrepancies, and help ensure financial statements are ready each accounting period.
Support the annual audit by preparing reports, gathering records, and responding to auditor information requests.
Maintain accurate records and complete general office administration across the Co-op’s three business areas.
Support employee onboarding paperwork, tax forms, written documentation, and filing.

What you bring

Practical experience in accounting, bookkeeping, payroll, or finance administration.
Strong attention to detail and the confidence to spot discrepancies and follow up.
The ability to manage recurring deadlines and stay organized across several systems and processes.
A collaborative approach when working with managers and employees.
Comfort learning established systems, including older software and manual processes.

Experience with Sage, retail or similar operations, or a unionized workplace would be an asset. We value relevant experience and the ability to learn; a degree or accounting designation is not required.

What O’Leary Co-op offers

An hourly wage of $23–$25, based on experience.
A Monday-to-Friday schedule, generally 8:30 a.m. to 4:00 p.m.
Health and dental coverage, life insurance, and long-term disability coverage, with costs shared between the employee and employer.
A pension plan with an employer match of up to 5%.
