Community & Events Manager

Full-Time | 40 hours per week

About the Role

We’re looking for an organized, creative, and people-focused Community & Events Manager to lead events, tenant engagement, and community initiatives at the Kelowna Innovation Centre.

This role is responsible for managing our event program, supporting tenant and community engagement, overseeing building communications and digital channels, and creating a welcoming experience for everyone who walks through our doors.

Working closely with and supporting the Director of Operations, the Community & Events Manager will have significant ownership over their areas of responsibility. The ideal candidate is resourceful, highly organized, comfortable working independently, and confident managing multiple priorities in a dynamic environment.

Because this role oversees events hosted at the Innovation Centre, some evening and occasional weekend work will be required.

Community & Tenant Experience

Serve as a welcoming point of contact for tenants, visitors, event clients, and community members.
Respond to general building inquiries and provide tours of the Innovation Centre.
Help maintain a welcoming and well-presented building environment through regular building checks and coordination of guest-facing amenities.
Plan and facilitate tenant social events and community-building initiatives throughout the year, including seasonal celebrations and tenant gatherings.
Identify opportunities to enhance tenant engagement and the overall community experience within the building.

Event Management

Own the event rental experience from initial inquiry through post-event follow-up.

Responsibilities include:

Manage incoming event inquiries and the events inbox.
Provide venue availability, rental information, pricing, tours, and quotes.
Prepare rental agreements, deposits, invoices, and required event documentation.
Maintain accurate event calendars, booking records, and client information.
Collect event details and coordinate all necessary building preparations.
Coordinate room layouts, digital displays, theatre lighting, projection requirements, and other event-specific details.
Arrange security, cleaning, building access, and other operational requirements.
Coordinate with event vendors and external service providers.
Schedule and conduct A/V orientations for theatre rentals as required.
Promote the Innovation Centre's event spaces through social media, newsletters, and other marketing opportunities.

On-Site Event Support

Act as the primary on-site contact for event clients.
Oversee event load-in, setup, execution, and load-out.
Coordinate with vendors and troubleshoot issues as they arise.
Provide basic A/V support and ensure event spaces are operating as expected.
Coordinate additional event staff when required.

Event Administration & Reporting

Manage event deposits, final invoices, and payment follow-up.
Maintain accurate event revenue records.
Prepare monthly event revenue reporting for the Director of Operations and accounting team.
Ensure event documentation, insurance certificates, permits, and other required records are collected and properly filed.

Communications & Digital Content

Create and distribute the monthly Innovation Centre newsletter.
Manage and create content for the Innovation Centre's social media channels, including Instagram and LinkedIn.
Maintain relevant website and Google Business Profile content.
Keep digital displays throughout the building current and engaging, including:
Event calendars
Tenant showcases
Building announcements and featured content
Promote building events, tenant initiatives, community programming, and art installations across appropriate communication channels.

Arts & Community Programming

Coordinate quarterly local art installations throughout the Innovation Centre.
Build and maintain relationships with local artists and respond to exhibition inquiries.
Coordinate artist scheduling, agreements, installations, removals, and promotion.
Manage programming for the Innovation Centre's Chalk Wall, including artist/community inquiries, design coordination, interactive installations, and cleaning between displays.
Look for creative opportunities to showcase local talent and strengthen the Innovation Centre's connection to the broader community.

What We're Looking For

The successful candidate will be someone who is comfortable taking ownership of their work while collaborating closely with the Director of Operations and other building partners.

Confident working with digital platforms, social media, and basic A/V technology.
Comfortable providing hands-on support when an event or building initiative requires it.
Flexible to work occasional evenings and weekends based on the event schedule.

Experience in event management, hospitality, community engagement, marketing, venue management, or a related field would be an asset.

This is a temporary leave-coverage position with an initial term of 6 months.
