About Us

Kenny Johnson University (KJU) is a Canadian credit education and credit dispute assistance company dedicated to helping consumers better understand their credit and navigate the credit reporting system.

As our company continues to grow, we’re looking for a highly organized, proactive, and dependable Executive Assistant & Operations Coordinator to work directly with our Founder and CEO.

This role is ideal for someone who enjoys taking initiative, managing multiple priorities, and ensuring that day-to-day operations run smoothly.

About the Role

As our Executive Assistant & Operations Coordinator, you’ll play an important role in supporting the CEO and coordinating daily business activities.

We’re looking for someone who doesn’t simply wait for instructions but can anticipate needs, identify potential issues, follow up on outstanding tasks, and help maintain accountability across the organization.

The position is primarily remote, with occasional in-person attendance at our Montreal office for meetings, video production, and other business activities.

Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, appointments, meetings, and scheduling.
  • Monitor and organize emails, correspondence, and administrative requests.
  • Coordinate meetings, consultations, and business appointments.
  • Assist with planning, prioritizing, and organizing the CEO’s weekly schedule.
  • Handle confidential company information with professionalism and discretion.

Operations Coordination

  • Monitor daily operational activities and ensure assigned tasks are completed on schedule.
  • Follow up with team members regarding outstanding assignments and deadlines.
  • Track the completion and mailing of client correspondence.
  • Coordinate with department leads to identify delays, challenges, or operational concerns.
  • Prepare daily and weekly operational summaries for the CEO.
  • Help maintain organized workflows, documentation, and internal procedures.

Team Coordination

  • Communicate with employees across different departments.
  • Follow up on employee deliverables and report unresolved issues to management.
  • Assist with coordinating schedules, meetings, and internal communications.
  • Help ensure that company procedures and deadlines are consistently followed.

Content & Project Coordination

  • Assist with scheduling and coordinating video production.
  • Communicate with videographers, editors, and other creative partners.
  • Organize filming schedules, content deadlines, and project deliverables.
  • Attend occasional in-person video shoots or business meetings as required.

Qualifications

  • Minimum 2 years of experience in executive assistance, administrative coordination, or operations support.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills in English.
  • Comfortable working independently in a remote environment.
  • Proficient with Microsoft Office, Outlook, Teams, and other digital productivity tools.
  • Ability to manage competing priorities and meet deadlines.
  • Strong attention to detail and problem-solving abilities.
  • Professional, dependable, and capable of handling confidential information.
  • Ability to travel occasionally to our Montreal office.

Preferred Qualifications

  • Previous experience supporting a CEO, founder, or business owner.
  • Experience coordinating remote teams.
  • Experience in financial services, professional services, or a client-focused business.
  • Experience with project management and workflow tracking software.
  • French language proficiency is an asset.

What We’re Looking For

We’re particularly interested in someone who is:

  • Proactive: Identifies what needs to be done without constant direction.
  • Accountable: Takes ownership of responsibilities and follows through.
  • Organized: Can manage multiple projects and deadlines simultaneously.
  • Resourceful: Finds solutions and knows when to escalate an issue.
  • Professional: Communicates effectively with leadership, employees, and external partners.
  • Independent: Works efficiently without constant supervision.

What We Offer

  • Competitive hourly compensation based on experience.
  • Flexible, primarily remote working environment.
  • Direct collaboration with the Founder and CEO.
  • Opportunity to contribute to the growth of an established Canadian business.
  • Potential for additional responsibilities and increased hours as the company grows.
