We are currently seeking an outgoing and talented Executive Assistant with a positive attitude to help keep us organized and efficient.

About the Role

The Executive Assistant provides high-level administrative support to the Executive and Senior Management teams and plays an important role in supporting key administrative functions across the organization. This position requires a high level of organization, discretion, professionalism, and the ability to manage changing priorities in a fast-paced environment.

The successful candidate will be a trusted partner to leadership, ensuring schedules, communications, meetings, projects, and administrative activities are coordinated efficiently and effectively.

Key Responsibilities

Duties include, but are not limited to, the following:

Organize Company Events and Meetings (Virtual and In Person)
Manage and maintain Company’s social media channels
Assist with marketing initiatives
Manage membership renewal programs
Champion the company's Charitable initiatives
Writing, editing and formatting letters, reports and proposals
Liaise with Landlord on office maintenance issues
Manage third party vendors/suppliers
Become familiar with key administrative functions E.G. Cell phone administration, Erail safe process, Invoice Cover Letter preparation, digitization project, print production and report preparation, etc.
Work as part of the Administration Team to accomplish organizational goals
Chair the Social Committee and organize employee social events
Train and mentor Administrative Assistants
Participate in the Recruitment, New Hire Orientation and On-boarding process
Revise and update corporate website and intranet as needed
Attend meetings and take minutes as needed
Coordinate, support and contribute to a variety of special projects

What you bring

Advanced Microsoft Office skills, particularly in Word, Excel, PowerPoint, and Outlook, with strong knowledge of document formatting, styles, section breaks, headers/footers, and professional document design.
Creative and design-savvy, with experience using Canva and Adobe Creative Cloud applications, including Illustrator, Photoshop, and PDF tools.
Digital communications experience, with familiarity developing and managing e-newsletters using Mailchimp.
Website management experience, with familiarity using WordPress.
Tech-savvy and adaptable, with the ability to quickly learn and confidently work with new technologies, systems, and digital tools.
5+ years of administrative experience, including a minimum of 2 years in an Executive Assistant or similar executive-level support role.
Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
Exceptional attention to detail, organization, and time-management skills, with the ability to manage multiple priorities and deadlines effectively.
