Who we need

Reporting to the Chief Financial Officer, we are hiring an Executive Coordinator to provide dedicated executive support to the CFO while also supporting the broader Finance, Treasury and Tax teams. As our new Executive Coordinator, you will manage the day-to-day administrative details that keep priorities moving. From calendar management and meeting coordination to preparing and formatting presentations,you will work across the teams to bring organization and follow-through to recurring processes, manage timelines and logistics, and provide reliable support as needs arise.

This is an existing, full-time opportunity based in the Toronto office, working onsite five days per week.

As our new Executive Coordinator, you will

Provide executive support. You will manage the CFO’s calendar, coordinate meetings and schedules, and stay ahead of changing priorities. You will anticipate needs, manage details and logistics, and use your judgment to help ensure their time and attention are focused where they are needed most.
Coordinate priorities and projects. You will provide administrative coordination for projects and recurring activities across the Finance, Treasury and Tax teams. You will help establish and maintain project cadences, coordinate meetings and timelines, follow up on outstanding items, and keep individuals organized and informed.
Support Finance, Treasury and Tax processes. You will assist with the administrative components of recurring Finance, Treasury and Tax activities, including reporting and compliance filings and processes. You will bring structure and attention to detail to documentation, timelines, and follow-up, helping the teams complete important processes efficiently.
Prepare polished materials. You will format, edit, and finalize presentations, spreadsheets, and other business materials using Microsoft Office, particularly PowerPoint and Excel. You will ensure materials are accurate, consistent, professional, and ready for executive and stakeholder audiences.

You bring

The executive support experience. You have experience providing high-level administrative support to a senior executive and understand the discretion, responsiveness, and judgment that comes with being a trusted partner. You are confident in managing a complex calendar, coordinating competing priorities, and staying several steps ahead of what needs to happen next.
The organization and attention to detail. You are highly organized and comfortable managing multiple priorities, recurring processes, deadlines, and follow-ups simultaneously. You notice the details others may miss and take pride in producing accurate, polished work and keeping things moving without needing constant direction.
The technical skills. You are highly proficient with Microsoft Office, particularly PowerPoint and Excel. You can format and edit presentations, spreadsheets, and documents to create polished, consistent materials, and you are comfortable learning the processes and tools used by Finance and Tax teams.
The communication and interpersonal skills. You communicate clearly and professionally and know how to work effectively with executives and colleagues across different teams. You are approachable, responsive, and comfortable becoming a trusted point person people can rely on for information, coordination, and support.
The initiative, judgment, and team mindset. You are someone who sees what needs to be done and takes action. You can work independently, anticipate needs, adapt when priorities shift, and make thoughtful decisions about when to move something forward yourself and when to ask for input. As part of a small team, you are flexible about stepping outside your usual day-to-day responsibilities when something needs attention. You bring a collaborative, no-ego approach and are motivated by being a trusted resource who helps the people and teams around you succeed.
Be a go-to resource for the team. You will provide day-to-day administrative and logistical support across Finance and Tax, stepping in where your help is needed. You will anticipate gaps, respond to evolving priorities, and take ownership of the details that help the broader team work effectively.

Compensation

At Kilmer Group, we believe compensation should be transparent, fair, and reflective of both experience and impact. The base salary range for this role is $75,000 - $100,000. .
