Your Opportunity

The Executive Support Specialist is a versatile and dynamic role designed to support multiple Executive Assistants (EAs) across various practice areas within the firm. This swing role ensures seamless coverage during vacation periods, manages overflow during peak periods, and responds to ad hoc requests from partners and leadership. This position plays a critical role in maintaining efficient executive operations across the firm, fostering collaboration among partners, and contributing to the firm's overall success.

The ideal candidate will have experience in public practice firms or professional services environments, possess exceptional organizational and time management skills, and demonstrate the ability to adapt to diverse work styles. The Executive Support Specialist will provide high-level administrative support to the leadership team, stepping in where needed and delivering timely, efficient, and high-quality service.

Your Scope:

Vacation Coverage & Support: Step in to support partners and senior leadership when EAs are on leave, ensuring continuity of service by managing calendars, emails, travel arrangements, and meeting coordination.
Peak Periods & Spillover Support: Assist during high-volume or peak business periods, managing overflow tasks such as travel bookings, expense reports, document preparation, and client correspondence.
Ad Hoc Requests: Provide flexible support to partners and senior leadership for special projects, urgent tasks, or unexpected administrative needs.
Calendar & Meeting Management: Organize and coordinate meetings, appointments, and travel arrangements across multiple practice areas, ensuring effective time management and communication.
Document Preparation & Review: Assist with preparing, reviewing, and proofreading documents such as reports, presentations, and client deliverables.
Client & Stakeholder Communication: Serve as a point of contact for clients, external stakeholders, and internal teams, ensuring prompt and professional communication.
File & Data Management: Maintain and organize files, records, and data, ensuring that information is accurate, up-to-date, and accessible when required.
Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.
Process Improvement: Collaborate with Executive Assistants and leadership to streamline administrative processes and identify areas for operational improvement.
Event Coordination: Assist in organizing internal and external events, including team meetings, client events, and conferences as needed.
Technology Proficiency: Ensure familiarity with and utilize firm systems, including Microsoft Office, CaseWare, SharePoint, and document management systems, to efficiently complete tasks.

Your Qualifications:

Two to five years of administrative experience working with Partners of C-Suite executives.
A diploma in Office Administration, Accounting or Legal Assistance would be an asset.
Knowledge and experience working in accounting software such as CaseWare and Tax Prep
would be an asset.
Previous experience in a public practice environment would be an asset.
Intermediate to advanced proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
Ability to navigate a high-paced professional services environment
An ability to follow direction effectively and work well independently and within a team.
Keen attention to detail.
Excellent verbal and written communication skills, and a high aptitude for providing
exceptional customer service.
