Job Description
The Talent Experience Coordinator plays an important role in creating a positive, organized, and seamless recruitment experience at Klick. Working closely with Talent Acquisition Partners, hiring managers, interviewers, and senior leaders, this role focuses primarily on coordinating interviews, managing complex calendars, and keeping candidates informed throughout the hiring process.
This is an opportunity for someone early in their career who enjoys bringing structure to complex situations, communicating with people, and solving scheduling challenges. Previous recruitment experience is not required. The role offers hands-on exposure to talent acquisition operations, global stakeholder coordination, and recruitment technology.
What You'll Do
- Coordinate multi-stage interviews across different teams, seniority levels, and global time zones, aligning candidate availability with hiring managers, interviewers, and senior executives.
- Manage interview logistics using Google Calendar and Zoom, including calendar invitations, virtual meeting links, meeting room bookings, schedule changes, and last-minute conflicts.
- Communicate directly with candidates through clear, thoughtful, and timely written correspondence, providing interview details, confirming arrangements, responding to questions, and managing rescheduling requests.
- Maintain accurate candidate information, interview schedules, and recruitment activity in SmartRecruiters, ensuring hiring teams have the information needed to prepare for interviews and move candidates through the recruitment process.
- Partner with Talent Acquisition colleagues to improve scheduling workflows, coordinate interviewer preparation, support recruitment administration, and identify opportunities to make the candidate experience more efficient and consistent.
Qualifications
Required:
- Interest in recruitment coordination and managing multi-stage interviews, demonstrated through academic projects, internships, volunteer activities, administrative work, or other experiences involving multiple stakeholders.
- Familiarity with Google Calendar or comparable scheduling tools, with the ability to organize meetings, manage invitations, and coordinate availability across multiple participants.
- Ability to communicate clearly and professionally in writing, demonstrated through emails, academic projects, customer service, or other situations requiring accurate and thoughtful communication.
- Experience organizing competing deadlines, schedules, or activities through coursework, employment, volunteering, or personal projects, including examples of resolving unexpected changes.
- Familiarity with Zoom or similar virtual meeting platforms, including setting up meetings, sharing links, and supporting virtual collaboration.
- Ability to coordinate with people at different organizational levels, demonstrated through examples of managing requests, communicating changes, or resolving conflicting priorities.
Desired:
- Comfort and enthusiasm for using AI as a regular part of how work gets done.
- Interest in learning SmartRecruiters or other Applicant Tracking Systems (ATS) to manage candidate information and interview coordination.
- Exposure to recruitment, human resources, administration, customer service, or project coordination through internships, coursework, volunteering, or employment.
- Familiarity with coordinating activities across multiple time zones or supporting teams working in different locations.
- Interest in developing practical skills in recruitment operations, candidate experience, and process improvement.

This posting is for a newly created role at Klick. The base salary range for this position is between CAD $50,000 - $60,000. The final amount offered will be determined based on several factors such as a candidate's work location, their unique skill set, education, and prior work experience.
