Job Overview

We are seeking a highly skilled Senior Accounting Analyst to join our finance team. The ideal candidate is the designated accountant and hands-on finance generalist for Kochasoft, an IT managed services and professional services firm. This is a full-time, 12-month fixed-term contract, with benefits, to provide coverage during a maternity leave and has the potential for continued employment. Reporting to the Controller, the role keeps the books accurate and the financial statements current, runs payroll, keeps Kochasoft current with its Canada Revenue Agency (CRA) and Internal Revenue Service (IRS) obligations by working closely with the company’s external accountants, and gives management a clear, regular view of where the company’s money is going.

Because Kochasoft is a growing firm, this is a multiple-hats role, and as a leave coverage it needs someone who can step in quickly and run the function from day one. It suits an experienced, detail-driven CPA who is equally comfortable reconciling the ledger, preparing financial statements, running a payroll cycle, resolving a tax notice, and explaining results in plain language to a non-finance leader.

Duties :

Accounting, Reconciliation & Financial Reporting

  • Lead month-end and year-end close for the Canadian and US entities against an agreed calendar, including intercompany reconciliations with other Kochasoft regions.
  • Review bank, GL, sub-ledger, credit card, and payroll clearing reconciliations, and journal entries (accruals, prepaids, deferrals, reclassifications), for accuracy and support.
  • Prepare monthly, quarterly, and annual financial statements by entity and on a consolidated basis, with variance commentary.
  • Ensure compliance with ASPE (Canada) and US GAAP, and document accounting positions on revenue recognition, accruals, and capitalization.
  • Record GST/HST input tax credits, payroll tax liabilities, and income tax provisions so ledger balances reconcile to filed returns.
  • Maintain the chart of accounts and accounting system (QuickBooks) with consistent coding across entities and departments.

Payroll

  • Process semi-monthly North American payroll in ADP (hires, terminations, salary changes, overtime, vacation and TOIL payouts, bonuses, commissions), reconciling Zoho People time and leave data before each run.
  • Calculate and verify Canadian statutory deductions (CPP/CPP2, EI, income tax) and US withholdings and employer taxes (federal, FICA, FUTA, state income tax and unemployment insurance).
  • Issue year-end slips (T4, T4A, W-2/W-3, 1099-NEC), maintain TD1, W-4, and W-9 records, and ensure timely ROE filing through ADP.
  • Process garnishments and third-party deductions, reconcile benefit deductions to provider invoices, and report taxable benefits and allowances in each country.
  • Track vacation and TOIL accruals and calculate final pay, termination, and severance under the Ontario ESA and applicable US policies.
  • Reconcile the payroll register to the GL and government remittances (CRA PD7A, IRS Form 941) monthly.
  • Implement HR-approved merit and bonus changes in local currency and provide payroll data for compensation benchmarking and workforce cost planning.

Tax & Regulatory Compliance (CRA and IRS)

  • Maintain a compliance calendar for all Canadian and US filings and remittances (source deductions, GST/HST, Ontario EHT, WSIB, IRS Forms 941/940, state payroll filings) and ensure on-time payment.
  • Act as day-to-day liaison with external accountants and tax advisors, preparing year-end working papers and schedules for corporate tax filings and helping claim available incentives and tax credits.
  • Track CRA, IRS, and state correspondence through resolution, and update payroll settings for annual rate, threshold, and minimum wage changes.
  • Manage contractor tax documentation with HR, including Regulation 105 withholding on non-resident contractors and related slips.
  • Support intercompany reporting (CRA Form T106, IRS Form 5472) and maintain intercompany agreements.
  • Monitor sales tax and registration obligations as Kochasoft expands into new provinces and states, and keep corporate filings, registered-agent renewals, and government surveys current.

Expense Monitoring & Management Reporting

  • Review vendor invoices, corporate card activity, and expense claims for policy compliance, approval, and correct coding.
  • Prepare the monthly management reporting package covering budget variance, payroll cost by entity and department, and cash position.
  • Track subscriptions, licenses, and vendor contracts, flagging renewals and price changes in advance.
  • Support the controller on the annual budget and forecasts, including payroll cost modelling, and manage monthly intercompany funding transfers.
  • Report client and service-line profitability using Zoho People labour data.
  • Partner with HR to maintain expense, travel, and corporate card policies.

Billing, Revenue & Cash Management

  • Review and approve monthly managed services and time-and-materials invoices, validating billable hours against Zoho People.
  • Oversee AR aging, collections, and payment application, and review unbilled and deferred revenue reconciliations.
  • Support a rolling 13-week cash flow forecast and monitor CAD/USD exchange exposure.
  • Monitor bank accounts daily and maintain banking relationships, signing authorities, and payment approvals.

Accounting Operations & Controls

  • Act as AP payment releaser and process contractor invoices against executed agreements, verifying vendor setup, rates, and approvals.
  • Serve as main contact for the external review or audit, preparing PBC schedules and responding to queries.
  • Maintain the fixed-asset register, including staff-issued devices, and record amortization and CCA information; support annual corporate insurance renewals.
  • Administer data flow between ADP and the accounting platform and recommend process improvements and automation.
  • Document procedures and maintain practical internal controls, including approval limits and segregation of duties.
  • Other related finance and administrative duties as assigned.

Skills

  • Strong knowledge of accounts payable, accounts receivable, bank reconciliation, and account reconciliation procedures.
  • Experience with corporate finance functions such as budgeting, auditing, and financial analysis.
  • Proficiency in bookkeeping practices and account analysis for accurate financial reporting, with a disciplined approach to deadlines and recurring obligations.
  • Familiarity with payroll processing and compliance requirements.
  • Excellent analytical skills with attention to detail and problem-solving capabilities.
  • Strong Excel skills (pivot tables, lookups, reconciliations, and building clear summary reports).
  • Hands-on experience with accounting software and ERP systems such as QuickBooks and with payroll platforms (e.g., ADP); Zoho People exposure is an asset.
  • Sound judgment and absolute discretion in handling confidential compensation and personal information.
  • Self-directed and comfortable switching between tasks and priorities in a small-team environment.
  • Ability to work independently and collaboratively within a team environment.
  • Strong organizational skills with the ability to manage multiple priorities efficiently.
  • Eligible to work in Canada.

Education & credentials

  • A bachelor’s degree in accounting, finance, or a related field (required).
  • A Chartered Professional Accountant designation in good standing with CPA Ontario, including legacy CPA, CGA or CPA, CMA holders (required), or an equivalent designation recognized by CPA Ontario through a mutual recognition agreement.
  • A Payroll designation - Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) from the National Payroll Institute, or the Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) from Payroll Org - is a strong asset.

Experience

  • Five or more years of progressive experience in accounting and finance, including preparing financial statements and at least two years of hands-on payroll processing.
  • Strong command of Canadian GAAP (ASPE/IFRS) and US GAAP, double-entry accounting, account reconciliation, and the Canadian and US tax rules that affect the ledger.
  • Working knowledge of CRA payroll source deduction, remittance, and year-end reporting requirements.
  • Exposure to US payroll and IRS/state payroll tax requirements is strongly preferred; multi-state or cross-border payroll experience is an asset.
  • Experience in a small business, professional services, or IT services environment where you handled a broad scope of finance work across more than one entity or currency is an asset.
