Role Description

Kormans LLP is seeking a full-time Accounting Department Coordinator to join our growing team in Mississauga, Ontario.

The Accounting Department Coordinator will play a key role in supporting the Firm's financial operations and accounting functions. Working closely with the Partners, management team, and accounting staff, this position is responsible for overseeing day-to-day accounting processes, ensuring compliance with Law Society trust accounting requirements, and providing financial reporting and operational support.

The successful candidate will possess strong analytical, organizational, and leadership skills, with the ability to manage multiple priorities in a fast-paced professional services environment.

Key Responsibilities

Financial Management & Reporting

Work closely with the Partners on financial matters, strategic planning, and operational initiatives.
Provide leadership and oversight of the Firm's accounting and financial management functions.
Prepare and manage monthly financial reporting packages, including financial statements, key performance indicators (KPIs), cash flow reports, and accounts receivable/payable summaries.
Monitor the Firm's financial performance and provide meaningful analysis and recommendations to the Partners.
Coordinate year-end financial reporting and liaise with external accountants, auditors, and tax advisors.
Support budgeting, forecasting, financial planning, and other strategic initiatives.

Accounting Operations

Oversee accounts payable, accounts receivable, collections, reconciliations, and banking activities.
Supervise and support three accounting team members, helping with the day-to-day transactions.
Responsible for issuing wires, EFT’s and cheques.
Monitor and manage the Firm's cash flow and liquidity to ensure operational requirements are met.
Oversee billing processes and daily real estate transaction accounting activities.
Calculate, maintain, and report Partner distributions and related financial information.
Ensure all government remittances, tax filings, and regulatory reporting requirements are completed accurately and on time.
Manage banking relationships and key vendor accounts.

Trust Accounting & Compliance

Ensure compliance with Law Society of Ontario trust accounting rules, reporting requirements, and record-keeping obligations.
Develop, implement, maintain, and continuously improve financial policies, procedures, and internal controls.
Monitor compliance with established financial controls and recommend process improvements when required.
Maintain accurate accounting records and support internal and external audits.

Team Support & Leadership

Coordinate workflow and priorities within the accounting department.
Collaborate with lawyers, law clerks, legal assistants, and administrative staff to support Firm operations.
Assist with training, process documentation, and implementation of accounting best practices.
Participate in special projects and departmental initiatives as assigned.

Qualifications

The ideal candidate will possess:

Postsecondary education in Accounting, Finance, Business Administration, or a related field.
Minimum 3-5 years of progressive accounting experience, preferably within a law firm or professional services environment.
Strong knowledge of accounting principles, financial reporting, and internal controls.
Experience managing accounts payable, accounts receivable, reconciliations, and financial reporting.
Excellent analytical, organizational, and problem-solving skills.
Strong attention to detail and accuracy.
Excellent verbal and written communication skills.
Advanced proficiency in Microsoft Excel and strong working knowledge of Microsoft Office Suite.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Ability to work independently and collaboratively with cross-functional teams.

Preferred Assets (Not Required)

Experience with any of the following would be considered an asset:

Law firm accounting experience.
Real Estate Law firm accounting experience
Knowledge of Law Society of Ontario trust accounting rules and compliance requirements.
Cosmolex, Unity, Quickbooks, or similar legal accounting software.
Experience preparing financial reports for professional partnerships.
Supervisory or team leadership experience.
