HOURS OF WORK: 35 hours per week, Monday to Friday

This position has the option to participate in a modified work week schedule (37.5 hours/week) Monday to Friday, with the extra hours worked as one earned day off taken once every three-week scheduled cycle.

PRIMARY FUNCTION:

To produce high-quality, accurate, and accessible legal information and educational resources for Legal Aid BC (LABC). This involves developing and implementing clear and engaging legal content, including service brochures, public legal education reference materials, and digital resources. This role encompasses managing both print and digital content for external distribution and maintaining and updating corporate websites. Additionally, it includes analysing user needs and current legal trends to ensure the information provided remains relevant, helpful, and up to date.

The following job duties are illustrative examples and shall not be construed as an exhaustive description of all the work requirements that may be inherent in the job.

DUTIES:

1. DEVELOP AND PRODUCE PUBLIC LEGAL INFORMATION:

In consultation with Manager, serve as the project lead for developing service information, and online public legal education content for clients and LABC navigators;
Coordinate project tasks and deliverables with contractors, staff and other interested party collaborators (IPC) to ensure that project objectives and timelines are achieved.;
Provide guidance and best practices for content development, usability and process design;
Manage, maintain and support the distribution of LABC’s existing digital and print public legal information and education content;
Maintain up to date knowledge of content delivery models and compile best practices in content creation, delivery, usability, and process design to effectively manage LABC’s digital and print legal information and educational content;
Research, gather business requirements, clarify project scope, and recommend solutions with end users in mind;
Work with the intended audience to and the graphic designers to ensure the material is accessible and appropriate for the intended audience; e.g., reading level, accessibility, choice of medium, size, format, type size, and illustrations and/or other visual presentations;
Write and/or edit content and prepare material for project sponsors, content experts, legal reviewers, and Manager to review
Coordinate content and legal reviews and incorporate necessary changes to ensure accuracy
Proofread design proofs, page layouts and blue lines, websites, and other online information and/or multimedia content to ensure accuracy.
Provide instructions to internal and external translators on carrying out pre-and post-design translation checks to ensure completeness and accuracy of translations.
Oversee production and distribution of public legal information educational content and/or promotional material as required
Support the Communications Department as required

2. PROVIDE PROJECT MANAGEMENT EXPERTISE:

Coordinate multiple projects at various stages of production from start (content creation and development) to finish (send to printer and/or upload to website, plus ongoing maintenance);
Draft and Coordinate project contracts, define key milestone dates, set schedules, monitor resources and scope and ensure identified deadlines are achieved and escalate critical issues to Manager;
Liaise with, coordinate, and monitor the work of external contractors (i.e., legal reviewers and translators) and/or subject matter experts, and advise Manager of any changes in resource requirements, if necessary
Plan, monitor, and communicate project progress to the team throughout the entire project cycle using appropriate project management tools and review plans to meet changing circumstances.
Apply publishing best practices planning cycle to all projects.
Draft contracts related to identified projects, translation and/or legal review purposes, prepare purchase orders and verify invoices
Ensure project activities are executed based on project requirements and of consistent quality and in accordance with established LABC policies, resources, methods and constraints.
Ensure final versions are approved by appropriate parties.
Schedule meetings, prepare agendas, take minutes
Support the Communications Department as required (i.e. newsletter(s), social media platforms, internal/external reports, Intranet, etc.)

3. Collaborate with internal and external Interested Party Collaborators

In consultation with Manager and other IPCs, establish and maintain collaborative relationships with other legal aid and public legal information and education providers
Elicit and review feedback from internal and external IPCs to ensure the most updated and accurate legal information is being provided.
Evaluate the impact of new and existing services for how they will impact the legal aid and legal information and education ecosystem. Create work plans to address changes that may be necessary.

QUALIFICATIONS:

Basic requirements

Undergraduate degree in Communications, Journalism, Publishing or related discipline
Excellent writing and editing skills
Knowledge of the legal system with strong foundational knowledge of procedures related to criminal, immigration, child protection and family law.
Minimum 3 years’ relevant experience as outlined in rated requirements
OR an equivalent combination of education and experience

Rated requirements

Experience in managing legal content for a public service organization

Experience in developing and implementing project management best practices (templates, dashboards, processes, and procedures)
Experience coaching and mentoring project teams
Experience working with cross-functional teams and resolving conflicts

Ability to multi-task, prioritize work and plan ways to meet competing interests and changing priorities with minimum supervision
Expert understanding of project life cycle
Experience working on web and digital projects
Familiarity with TeamWork, Data Studio, MS Project, and enterprise project management tools or equivalent
Experience and proficiency in using advanced computer skills including an understanding of the basics of website construction and experience with general software applications (ex. Adobe , Adobe Pro, HTML, Drupal, Google Analytics, Acrobat Pro, InDesign, Visual Studio Code, Excel, Campaign Monitor and/or equivalent applications)
Knowledge of publishing process and plain language principles
Knowledge of World Wide Web Consortium (W3C) Web accessibility and usability standards and guidelines and Gender-Based Analysis Plus (GBA+) initiative/approach.
Must have knowledge of the principles of Equity, Diversity, and Inclusion (EDI) and Truth and Reconciliation.
Ability to perform specialized and complex work independently
Ability to exercise initiative and independent judgment within established policy guidelines
Must have excellent problem solving, analytical and organizational skills
Ability to communicate effectively with co-workers and management
Must have outstanding written and verbal communication skills
Ability to understand cross-department concerns and communicate cross-departmentally
Must be detail-oriented and task-oriented, but able to see and manage the ‘big-picture’
