Position Information

Job Title Registration & Records Specialist Appointment Type Full-time continuing Position Dates Hours per week/FTE 35 About the Position

Reporting to the Manager, Registration, Records & Student Funding, and working closely with the Team Lead and other team members, you’ll play an important role in shaping the student experience at Lethbridge Polytechnic.

For many students, applicants, graduates, community members, and employees, you’ll be one of the first people they interact with when seeking information, support, or guidance. In this role, you’ll help people navigate institutional processes, answer questions, solve problems, and connect with the resources they need to succeed.

As part of the Registrar’s Office and Student Experience (ROSE) team, you’ll support students throughout their educational journey, from admission and registration through to graduation. If you enjoy helping people, learning new things, and working as part of a collaborative team, we’d love to hear from you.

Position Details

What You’ll Do

In this role, you will:

  • Provide front-line service and support in person, by phone, and through email.
  • Assist students with registration, course changes, scheduling questions, academic records, and graduation-related processes.
  • Process transcript requests, record changes, and other student records activities.
  • Maintain accurate information within institutional systems and databases.
  • Interpret and apply institutional policies, procedures, and processes.
  • Investigate concerns and identify solutions by asking questions, gathering information, and working collaboratively with others.
  • Provide information about programs, services, deadlines, and student supports.
  • Collaborate with academic areas, Finance, Student Funding, Advising, Admissions, and other departments across the institution.
  • Contribute to process improvements and help maintain a positive, student-centred service environment.

No two days are exactly the same. You may be answering a registration question one moment, helping a student resolve a complex issue the next, and then assisting a program area or community member shortly after that.

What Success Looks Like

We know no one person has all the answers. Success in this role comes from a willingness to learn, collaborate, and support both students and colleagues.

You’ll likely be successful in this role if you:

  • Approach challenges with curiosity and a willingness to learn.
  • Are comfortable working through situations where there may be more than one path forward.
  • Use sound judgment when balancing policies, procedures, and student needs.
  • Welcome feedback and use it as an opportunity to learn and grow.
  • Communicate respectfully and work effectively with a wide range of students, colleagues, and community members.
  • Share knowledge, ask questions, and contribute to a collaborative team environment.
  • Adapt to changing priorities while maintaining a professional and student-focused approach.
  • Are comfortable navigating ambiguity and applying critical thinking when answers are not immediately clear.

You don’t need to know everything on your first day. We’re looking for someone who is open to learning, comfortable asking questions, and committed to contributing to a collaborative team environment.

Why Join Our Team?

You’ll be joining a supportive team that values learning, knowledge-sharing, and student success. We work together to solve problems, support one another, and continually improve how we serve students.

You’ll have opportunities to build your knowledge of post-secondary processes, student services, and institutional operations while contributing to meaningful work that supports students and the broader community.

Required Qualifications

  • Education:
    • A two-year diploma in a related discipline plus relevant work experience; or
    • An undergraduate degree in a related discipline.
    • Equivalent combinations of education and experience may also be considered.
  • Experience providing customer service or administrative support in a professional environment.
  • Strong organizational, interpersonal, and communication skills.
  • Demonstrated ability to learn new systems, processes, and technologies.
  • Ability to work independently while contributing to a collaborative team environment.
Preferred Qualifications

  • At least 18 months experience working in a post-secondary environment.
  • Experience using student information systems or other complex administrative databases.
  • Experience interpreting policies, procedures, or regulatory requirements.
  • Experience supporting diverse populations and responding to complex inquiries.
  • Experience managing competing priorities while maintaining attention to detail.
