Shift: Monday to Friday - 10am to 6pm
The Logistics Associate is responsible for the accurate preparation, processing, and control of transportation documentation and administrative records. This role supports daily transportation operations by ensuring trip packages, shipment documents, and system records are complete, accurate, and properly archived.
Reporting to the Transportation Supervisor the Logistics Associate focuses on documentation integrity, audit support, and administrative follow-through, enabling smooth execution and accurate reporting across transportation operations.
KEY DUTIES AND RESPONSIBILITIES
Trip Package & Documentation Management
- Prepare, assemble, and manage daily trip packages for drivers, owner-operators, and third party carriers.
- Scan, index, and archive inbound and outbound shipment documentation.
- Scan and archive Proofs of Delivery (PODs) and Bills of Lading (BOLs).
- Ensure all required trip and shipment documentation is complete, accurate, and properly filed.
Data Accuracy & Audit Support
- Perform Provision audits and other data accuracy checks as required.
- Validate documentation and system records to ensure alignment with operational activity.
- Identify data discrepancies, missing documentation, or errors and report issues for correction.
- Support compliance with documentation, audit, and record retention requirements.
OS&D, Service & Reporting Support
- Support OS&D tracking and documentation by gathering and organizing required records.
- Assist with service-related reports by compiling documentation and supporting data.
- Provide administrative support for service investigations and follow-up as required.
- Maintain organized records to support internal and external reporting needs
Administrative & Operational Support
- Support transportation operations with administrative tasks and reporting as required.
- Assist supervisors and managers with data preparation and documentation requests.
- Maintain organized electronic and physical filing systems.
- Follow established procedures and escalate issues when documentation standards are not met
MINIMUM REQUIREMENTS (KNOWLEDGE, SKILLS, ABILITIES)
- 1–3 years of experience in logistics, transportation, administrative, or operations support roles.
- Strong attention to detail with a high level of accuracy.
- Comfortable working with scanning systems, document management tools, and spreadsheets.
- Ability to manage routine tasks with consistency in a fast-paced environment.
- Strong organizational and time management skills.
- Clear written and verbal communication skills.
Success Indicators
- Complete and accurate city trip packages.
- High documentation accuracy and audit pass rates.
- Timely scanning and archiving of PODs, BOLs, and shipment records.
- Accurate support of OS&D and service reporting.
- Reduced rework and follow-up due to documentation or data errors.
