About The Opportunity

LRO Staffing is partnering with a respected Ottawa organization to recruit an Executive Assistant for a temporary contract. This is an excellent opportunity for an experienced Executive Assistant who can quickly step into a busy executive office, manage complex calendars, and provide proactive, hands-on support with minimal training.

Duties include but are not limited to:

Providing high-level administrative support to two VP-level executive-office leaders
Managing complex and frequently changing executive calendars
Coordinating meetings and appointments while balancing competing priorities
Providing proactive follow-up and ensuring commitments and action items are addressed
Coordinating virtual and in-person meetings, including meeting preparation and logistics
Coordinating travel arrangements using the organization's established travel platform
Preparing documents, briefing materials, meeting information, and other administrative materials
Providing administrative support during meetings, including taking minutes when required
Managing correspondence and general administrative follow-up
Maintaining electronic and physical documents and materials as required
Using Microsoft Office, Outlook, and other organizational technology to support executive needs
Working collaboratively with the broader administrative team
Assisting with additional administrative responsibilities as required

About You

The successful candidate will have the following:

3-5+ years of relevant Senior Administrative Assistant experience
Significant experience managing complex, frequently changing executive calendars
Strong ability to coordinate competing priorities and adjust schedules as needs change
Highly organized, detail-oriented, and proactive
Strong Microsoft Office and Outlook skills
Experience coordinating executive travel and supporting virtual and in-person meetings
Comfortable preparing documents, meeting materials, and minutes
Strong interpersonal and communication skills
Able to work effectively with different executive working styles
Adaptable and comfortable working in a constantly changing environment
Able to work independently and take initiative while also being a collaborative team member
Comfortable working with both digital tools and traditional administrative processes, including printing and maintaining physical materials
Quick to learn new systems and processes and able to step into a role with minimal training
Experience within a not-for-profit or people-focused organization is an asset
French-language skills are an asset but not required

About the Job

Work Arrangement: Hybrid; onsite 2-3 days per week, with flexibility based on executive schedules and business needs
Duration: ASAP for approximately 8 weeks, with potential for extension
Hourly Pay: $28.00 to $30.00
Hours: Monday to Friday, 37.5 hours per week, flexible within normal business hours
