About the Opportunity

Our client is seeking a highly organized and resourceful Office Administrator to support day-to-day administrative operations and contribute to the overall efficiency of a busy office environment.

This position plays an important role in maintaining workflow processes, coordinating internal documentation, supporting operational teams, and ensuring office activities run smoothly. The successful candidate will be a detail-oriented professional who enjoys working in a fast-paced setting, takes initiative, and can effectively manage multiple priorities while maintaining a high level of accuracy and professionalism.

Key Responsibilities

Administrative Operations

Coordinate daily office activities to ensure efficient workflow and administrative support.
Manage incoming calls, messages, correspondence, and general inquiries.
Organize and maintain electronic and physical records, ensuring documentation is accurate and current.
Support leadership and operational teams with administrative tasks and reporting requirements.

Financial Administration

Assist with accounts payable functions, including purchase order processing and document verification.
Compile and prepare employee expense submissions.
Support receipt collection, expense coding, and tracking activities.
Contribute to payroll data preparation and related administrative processes.

Coordination & Logistics

Arrange accommodations and travel-related requirements for field personnel when required.
Assist with preparing service proposals, quotes, and supporting documentation.
Maintain tracking systems, spreadsheets, and operational records to support project activities.

Safety & Compliance Administration

Monitor and organize safety documentation received from field teams.
Maintain employee training records and ensure administrative compliance requirements are up to date.
Support company initiatives that promote a safe and compliant workplace.

Qualifications

Experience

Previous experience in office administration, office coordination, or a related administrative role.
Experience supporting multiple departments or operational teams is considered an asset.

Skills & Competencies

Strong organizational and time management abilities with the capacity to manage changing priorities.
Excellent communication and interpersonal skills.
Professional customer service approach and strong telephone etiquette.
High attention to detail and commitment to producing accurate work.
Ability to work independently while collaborating effectively within a team environment.
Strong proficiency with Microsoft Office applications and administrative software.
