We’re looking for an Office Manager to take ownership of the day-to-day operations of our Toronto office and help create a welcoming, organized and inspiring workplace for everyone at Magnific.

You’ll be the go-to person for employees, visitors and external partners, ensuring that our office runs smoothly and that every person who walks through the door has a great experience.

👀 What you’ll do

Reception and visitor experience

Manage the reception desk and respond to inquiries from employees, visitors and third parties.
Handle incoming calls to the office.
Welcome, register and provide access credentials to visitors, vendors, suppliers and couriers.
Ensure every visitor has a smooth and professional experience from the moment they arrive.

Office and facilities management

Oversee the day-to-day condition, organization and cleanliness of the office.
Make sure facilities and workspaces are functioning properly and resolve any issues that arise.
Prepare meeting rooms and provide support during meetings and conferences.
Source and coordinate the vendors required to operate the office, including cleaning and catering providers.

Purchasing and inventory

Place and receive orders for office supplies, consumable materials and furniture.
Monitor stock levels and ensure essential materials are always available.
Maintain an organized inventory and storage area.

Onboarding and offboarding

Support access setup for new employees, including fingerprint registration.
Prepare and distribute welcome kits.
Lead the first office tour for new Magnific team members.
Help ensure every new hire feels welcomed and supported from day one.

Events and team activities

Support the organization of corporate events, both in the office and at external venues.
Help set up and take down event materials.
Monitor event equipment and materials, and organize them correctly after each event.

HR and administrative support

Update internal protocols, documentation and office-related information.
Prepare and send emails and administrative documents.
Scan, organize and file documentation.
Provide general administrative support to the HR team when needed.

At least 3 years of experience in Office Management, office administration or a similar role.
Strong organizational skills and excellent attention to detail.
A proactive, hands-on approach and the ability to identify and solve problems independently.
Strong communication and interpersonal skills.
The ability to manage different priorities in a dynamic, fast-moving environment.
A service-oriented mindset and genuine interest in creating a great workplace experience.
Confidence working with employees, visitors, suppliers and external partners.
Full professional proficiency in English; Spanish is a plus.
