Administrative Coordinator

Maison Battat Inc. – Montreal QC

We are currently seeking a skilled and detail-oriented Administrative Coordinator to support the management and protection of our extensive trademark and copyright portfolio. This role is essential in ensuring the integrity of our intellectual property while providing high-level administrative support. Reporting to the VP of Product, you will collaborate with two external law firms and work closely with the Product Development, Sales, and Marketing teams to help drive success across key business functions

Responsibilities:

Maintain and organize Battat’s trademark and copyright portfolio docket, ensuring all files are up-to-date and easily accessible;
Coordinate trademark registration and renewal processes in the U.S. and internationally, including liaising with external partners;
Serve as the primary point of contact with outside counsel, assigning tasks and following up to ensure timely completion of Trademark and Patent activities;
Review and track invoices from outside counsel, ensuring accuracy and flagging any discrepancies for review;
Support internal teams, including copywriters, by confirming trademark availability for use and ensuring alignment with ongoing projects;
Monitor trademark registration statuses through online databases and provide regular updates to relevant stakeholders;
Conduct routine online searches and utilize brand monitoring tools to identify potential trademark infringement;
Assist in coordinating enforcement actions, such as preparing documentation for cease-and-desist letters or legal follow-ups to protect intellectual property;
Manage calendars, schedule meetings, and coordinate appointments across different time zones, ensuring efficient team operations;
Prepare and organize materials for meetings, presentations, and reports, ensuring readiness for key discussions;
Handle email and phone correspondence, prioritizing and escalating urgent matters as needed;
Assist with budget reconciliation and the preparation of expense reports to maintain financial oversight;
Respond to ad hoc requests and support special projects, ensuring seamless execution of daily operations.

Skills, Competencies & Requirements:

A College or Bachelor’s Degree;
An excellent level in English is necessary to communicate with external partners;
Strong analytical skills;
Must be organized, detail oriented, able to prioritize and handle multiple tasks;
Ability to work independently and as a member of a team;
Good positive attitude.

Responsabilités :

• Maintenir et organiser le registre des marques et des droits d'auteur de Battat, en veillant à ce que tous les fichiers soient à jour et facilement accessibles ;
• Coordonner les processus d'enregistrement et de renouvellement des marques aux États-Unis et à l'international, y compris la communication avec les partenaires externes ;
• Servir de principal point de contact avec les avocats externes, attribuer des tâches et assurer le suivi pour garantir l'exécution rapide des activités liées aux marques et brevets ;
• Examiner et suivre les factures des avocats externes, en vérifiant leur exactitude et en signalant toute anomalie pour révision ;
• Soutenir les équipes internes, notamment les rédacteurs, en confirmant la disponibilité des marques pour usage et en garantissant l'alignement avec les projets en cours ;
• Surveiller les statuts d'enregistrement des marques via des bases de données en ligne et fournir des mises à jour régulières aux parties prenantes concernées ;
• Effectuer des recherches en ligne de manière routinière et utiliser des outils de surveillance de marques pour identifier d'éventuelles infractions ;
• Assister à la coordination des actions d'application, comme la préparation de documents pour des lettres de mise en demeure ou des suivis juridiques afin de protéger la propriété intellectuelle ;
• Gérer les calendriers, planifier les réunions et coordonner les rendez-vous à travers différents fuseaux horaires, assurant ainsi une efficacité opérationnelle de l’équipe ;
• Préparer et organiser les documents pour les réunions, présentations et rapports, en veillant à être prêt(e) pour les discussions clés ;
• Gérer la correspondance par e-mail et téléphone, en priorisant et en escaladant les questions urgentes au besoin ;
• Aider à la réconciliation budgétaire et à la préparation des rapports de dépenses pour assurer une supervision financière ;
