Based in Halifax, Nova Scotia, Marinus Services ULC navigates the complexities of global trade with precision, providing high-quality technical and operational support services to marine terminals across North America.

Marinus Services is seeking a highly organized, dependable, and confident Labour Dispatch Coordinator to provide operational support for marine terminal labour dispatch activities. This role is responsible for coordinating labour scheduling, maintaining dispatch and payroll records, supporting compliance with Collective Bargaining Agreements, and ensuring accurate workforce documentation in a fast-paced, 24/7 operational environment.

The successful candidate will be someone who is systematic, organized, calm under pressure, and comfortable managing frequent changes and time-sensitive requests. They will be responsible for ensuring that daily labour requirements are clearly understood, properly scheduled, communicated, and executed.

What You'll Do

Coordinate daily labour scheduling and workforce assignments in support of a 24/7 marine terminal operation.
Prepare and maintain gang orders, dispatch records, labour reports, and other workforce documentation.
Review and verify employee timekeeping and payroll information for accuracy.
Monitor changing operational requirements and respond to scheduling adjustments, cancellations, and short-notice requests.
Support compliance with Collective Bargaining Agreements, established dispatch procedures, and operational requirements.
Communicate clearly with terminal operations teams, labour representatives, employees, payroll, and internal stakeholders to ensure requirements are understood and executed accurately.
Ask questions, clarify requirements, and confirm expectations when information is incomplete, unclear, or subject to change.
Develop and maintain organized processes for managing scheduling information, changes, requests, and follow-up actions.
Build and maintain positive working relationships with clients, terminal personnel, union representatives, and internal teams.
Maintain a professional and solutions-focused approach when managing competing priorities, changing requirements, and challenging or time-sensitive situations.
Work independently while maintaining consistent communication with the broader operations team.
Identify potential scheduling or workforce issues and escalate matters appropriately when required.

What We're Looking For

We are looking for an individual who is highly organized, process-oriented, confident, and comfortable working in a fast-changing operational environment. The ideal candidate will bring a combination of workforce coordination experience, strong communication skills, sound judgment, and the ability to maintain structure and accuracy under pressure.

The successful candidate will require the proper travel documents and ability to travel to the United States within a month from start.

Key Qualifications and Attributes

Experience in workforce management, labour scheduling, dispatch, logistics, operations coordination, customer service, or a similar environment.
Experience working in a unionized environment is preferred and considered a strong asset.
Strong organizational skills and a systematic approach to managing schedules, records, requests, and follow-up activities.
Demonstrated ability to manage multiple priorities, changing requirements, and short turnaround times while maintaining accuracy.
Clear, professional, and confident communication skills, both verbal and written.
Ability to ask appropriate questions, clarify requirements, and confirm understanding before taking action.
Strong interpersonal and relationship-building skills, with the ability to develop positive and professional working relationships with clients, terminal operations teams, union representatives, and internal stakeholders.
Calm, composed, and professional approach when dealing with pressure, competing priorities, challenging conversations, or unexpected changes.
Ability to work independently, take ownership of responsibilities, and follow established processes with minimal supervision.
Strong attention to detail and a commitment to accurate and consistent execution.
Demonstrated ability to adapt quickly to redesigns, scheduling changes, operational adjustments, and evolving client requirements.
Strong problem-solving and decision-making skills, with the ability to identify issues and determine when clarification or escalation is required.
Proficiency with Microsoft Excel, Outlook, and Teams.
Ability to travel to the United States within one month of starting for training and onboarding.
Diploma or certificate in Business Administration, Logistics, Supply Chain, Human Resources, or a related discipline is an asset.
Equivalent education and relevant experience will be considered.

Success in this role requires more than simply filling schedules. The Labour Dispatch Coordinator is responsible for ensuring that the right information, people, processes, and documentation come together accurately and on time.

The successful candidate will:

Maintain an organized and consistent approach to labour scheduling and dispatch.
Execute daily labour requirements accurately and within required timelines.
Recognize and address discrepancies before they become operational or compliance issues.
Maintain accurate records and documentation.
Understand and appropriately apply contractual and procedural requirements.
Communicate clearly when requirements change or clarification is needed.
Build strong working relationships with clients, operations teams, union representatives, and internal stakeholders.
Remain composed and solutions-focused when dealing with urgent requests or competing priorities.
Take ownership of assigned responsibilities and follow matters through to completion.
Contribute to a reliable, consistent, and professional labour dispatch process.
