About Markstone Group
Markstone Group is a growing landscape construction, commercial property maintenance, and snow removal company serving the Greater Toronto Area and surrounding communities.
We operate a large fleet of commercial vehicles, heavy equipment, and specialized machinery to support our year-round operations.
We are looking for an experienced Operations Manager who thrives on organization, leadership, problem-solving, and continuous improvement.
The Opportunity
We are seeking a highly organized, proactive, and process-driven manager to oversee our internal fleet and equipment maintenance department.
This is a management position, not a mechanical position.
We are looking for someone who excels at managing people, coordinating resources, implementing systems, and planning ahead. You do not need to be a mechanic, but you must be comfortable managing a technical team and making sound operational decisions.
The ideal candidate is someone who enjoys bringing structure to a busy environment, stays calm under pressure, and can anticipate problems before they happen.
You will lead a team of 3–5 mechanics and one yard employee, ensuring our equipment is properly maintained, repairs are prioritized, and the department operates efficiently.
Key Responsibilities
Leadership & Team Management
- Lead, schedule, and manage a team of mechanics and support staff.
- Establish clear expectations, daily priorities, and performance standards.
- Delegate work effectively and ensure accountability and follow-through.
- Develop a productive, organized, and results-oriented team environment.
Planning & Organization
- Develop and manage preventive maintenance schedules.
- Plan maintenance activities weeks and months in advance to minimize equipment downtime.
- Coordinate labour, parts, outside contractors, and equipment availability.
- Maintain organized work orders, schedules, and maintenance records.
- Anticipate seasonal demands and ensure equipment is ready before peak operating periods.
Operational Coordination & Problem-Solving
- Manage incoming equipment breakdowns and prioritize repairs based on operational urgency.
- Dispatch mechanics and coordinate resources to resolve issues efficiently.
- Remain calm and make sound decisions when managing multiple urgent situations.
- Communicate equipment status, repair timelines, and priorities with other departments.
- Balance emergency repairs with scheduled maintenance requirements.
Systems, Reporting & Process Improvement
- Utilize computer-based systems, spreadsheets, and maintenance management software to track department activities.
- Develop and improve operational procedures and workflows.
- Monitor work orders, employee productivity, equipment downtime, and maintenance expenses.
- Identify recurring problems and implement long-term solutions.
- Provide regular reporting on department performance, upcoming maintenance, and operational challenges.
Financial & Resource Management
- Monitor departmental expenses and maintenance budgets.
- Coordinate purchasing, parts inventory, and outside repair services.
- Identify opportunities to improve productivity and reduce unnecessary costs.
- Ensure resources are allocated efficiently.
Qualifications & Experience
Required:
- Proven experience in an operations, supervisory, or management role.
- Strong leadership skills with experience managing employees and holding teams accountable.
- Exceptional organizational, scheduling, and time-management abilities.
- Strong computer proficiency, including Excel or Google Sheets and other operational software.
- Demonstrated ability to develop processes, improve workflows, and manage competing priorities.
- Excellent communication, problem-solving, and decision-making skills.
- Ability to remain calm and organized in high-pressure situations.
- A proactive mindset with the ability to plan weeks and months ahead.
Considered an Asset:
- Experience in logistics, manufacturing, transportation, construction, equipment rental, or maintenance operations.
- Experience coordinating technicians, tradespeople, or field service employees.
- Familiarity with fleet maintenance software, work-order systems, or preventive maintenance programs.
- General understanding of commercial vehicles or heavy equipment.
A mechanical background is not required. Strong management, organizational, and computer skills are our priorities.
What Success Looks Like
The successful candidate will build a department where:
- Employees understand their responsibilities and are held accountable.
- Maintenance is planned proactively rather than constantly reacting to breakdowns.
- Equipment breakdowns are prioritized and handled efficiently.
- Work orders, schedules, and records are accurate and up to date.
- Equipment downtime is minimized.
- Processes are documented, followed, and continuously improved.
- Senior management has confidence that the department is organized and operating independently.
Hours & Compensation
- Salary: $90,000–$100,000 annually, depending on experience.
- Schedule: Approximately 45–55 hours per week.
- Additional availability and flexibility are required during major winter weather events.
- Full-time, permanent position based in Burlington, Ontario.
