Original job description

Project Coordinator / Assistant Project Manager – General Contracting

Location: Vancouver, BC | Full-Time, Permanent | 100% In-Office

Salary: $70,000–$80,000 annually

You know how a general contractor operates. You understand RFIs, change orders, submittals, schedules, and the urgency of getting a project built. You're organized, accountable, and you get things done.

MatchBox Consulting Group is working with an established Canadian general contractor to find an experienced Project Coordinator / Assistant Project Manager for its Vancouver construction team.

We're looking for someone who has worked for a general contractor in Metro Vancouver, understands how commercial and light industrial projects are delivered, and knows the difference between moving paperwork and actually moving a project forward.

You understand construction methodology. You know how trades interact, why schedules matter, and what happens when a drawing, submittal, or change order doesn't get dealt with on time.

You're not looking for someone to teach you what an RFI is. You're looking for a company where you can put your existing experience to work, take ownership of your responsibilities, and continue developing toward project management.

What You'll Be Doing

  • Support Project Managers in delivering commercial and light industrial construction projects from pre-construction through closeout.
  • Manage RFIs, shop drawings, submittals, change orders, site instructions, and project documentation.
  • Coordinate directly with subcontractors, suppliers, consultants, and site superintendents.
  • Track project schedules, procurement requirements, deliveries, and construction milestones.
  • Assist with project budgets, cost tracking, progress billings, purchase orders, and change management.
  • Review drawings and specifications, identify discrepancies, and help resolve coordination issues.
  • Prepare meeting minutes, action logs, progress reports, and project correspondence.
  • Assist with estimating, quantity take-offs, subcontractor quotations, and tender submissions.
  • Coordinate closeout documentation, including as-builts, O&M manuals, warranties, deficiencies, and inspections.
  • Visit active construction sites as required and maintain strong communication between the office and field.

What You Must Bring

General Contracting Experience Is Mandatory For This Position.

  • 3+ years of relevant construction project coordination or project management experience, including direct experience working for a general contractor in Metro Vancouver.
  • Demonstrated experience on commercial, institutional, or light industrial construction projects. Ground-up and design-build experience are particularly valuable.
  • Practical familiarity with Canadian construction contracts and the administration of projects delivered under applicable CCDC contract forms, including:
    • CCDC 2 – Stipulated Price Contract
    • CCDC 5A – Construction Management Contract for Services
    • CCDC 5B – Construction Management Contract for Services and Construction
    • CCDC 14 – Design-Build Stipulated Price Contract
  • Experience coordinating RFIs, submittals, change orders, schedules, subcontractor documentation, and progress billings.
  • An understanding of how commercial construction projects are procured, coordinated, built, and handed over.
  • Strong communication skills, both written and verbal, with the confidence to deal directly with trades, consultants, and project stakeholders.
  • Proficiency with Microsoft Office and construction management/document control software.
  • Excellent organization, attention to detail, and the ability to work independently without constant supervision.
  • Estimating experience is a strong asset.
Important – Please Read Before Applying

This is a general contracting position, not an entry-level construction administration role.

Candidates whose experience is exclusively in residential development, owner-side project management, architectural or engineering consulting, or subcontractor administration, without relevant general contracting experience, will not be considered.

We're looking for someone who has already worked within the local general contracting environment and can demonstrate practical knowledge of commercial construction, CCDC contract administration, and the day-to-day demands of project delivery.

Location and work authorization requirements:

  • This position is based in Vancouver, BC, and requires full-time attendance at the office, with local site visits as needed.
  • There is no hybrid, remote, or work-from-home arrangement.
  • Relocation assistance is not available. Candidates must already reside within commuting distance of the Vancouver office.
  • Candidates must be legally authorized to work in Canada without requiring employer sponsorship.

Why This Opportunity?

Our client is an established Canadian general contractor with more than 30 years of experience delivering commercial and specialized industrial facilities, including cold storage, food processing, and distribution projects.

Their projects frequently range from $10 million to $50 million, and their reputation has been built on delivering quality work and maintaining long-standing client relationships.

Unlike larger contractors where Project Coordinators can get lost in layers of management, this is a smaller, experienced team where your contribution is visible and your work matters.

What Makes This Opportunity Stand Out

  • Real project exposure: Work directly with experienced Project Managers, superintendents, and senior leadership.
  • Career development: An opportunity to build on your existing general contracting experience and progress toward project management.
  • Autonomy: A self-directed working environment that values accountability over micromanagement.
  • Interesting projects: Specialized commercial and light industrial construction, including technically complex facilities.
  • Established client relationships: A significant proportion of work comes from repeat customers.
  • Strong benefits: Extended health, dental, vision, life insurance, employee assistance program, paid time off, and group RRSP matching.
  • A practical, collaborative culture: Work with people who understand construction, communicate directly, and take pride in delivering projects properly.

Interested?

If you've worked for a general contractor in Metro Vancouver, understand CCDC contracts, and know what it takes to keep commercial construction projects moving, we'd like to hear from you.

We're looking for someone who brings genuine construction experience, takes ownership of their work, and is ready to contribute from day one.

Apply through MatchBox Consulting Group for a confidential conversation about the opportunity.
