Original job description

McAtee Psychology

We’re Hiring: Clinic Coordinator

Full-Time Maternity Leave Coverage | Monday to Friday | 40 Hours per Week | In-Person | SE Calgary

Pay Range: [$52,000] to [$57,000] Annually plus Benefits Package

About Us

McAtee Psychology is a growing private practice in Calgary providing counselling, psychological assessment, and consultation services to children, teens, adults, couples, and families. Our approach is personalized, inclusive, and strength-based, with a vision to help individuals and families thrive throughout every stage of life.

Our close-knit team of psychologists, mental health professionals, and administrative staff values excellence, collaboration, accountability, and connection. We take pride in delivering exceptional client care while fostering a positive, supportive workplace where everyone can grow and contribute.

The Role

This is a 13-month maternity leave contract beginning immediately, with strong potential to be extended or become permanent as the clinic grows.

On any given day, you might match a new family with the right therapist, process insurance claims, order assessment materials, manage team inventory, review accounts receivable, or plan the next team birthday event. You will work closely with our clinicians and leadership, keep the clinic running smoothly, and help us find better ways of doing things.

Some of your responsibilities may include:

Managing client intake, appointment scheduling, and matching clients with clinicians.
Overseeing billing, insurance claims, client payments, accounts receivable, and related administrative processes.
Coordinating daily clinic operations, managing inventory and clinical resources, and maintaining staff records.
Supporting internal and external team events and team operational projects that enhance clinic efficiency, collaboration, and growth.

What You Bring

You are warm, professional, highly organized, and confident in your communication with clients. You have exceptional customer service skills and a natural ability to make people feel welcomed, supported, and cared for. You are a fast learner who adapts quickly, manages competing priorities with ease, and thrives in a busy, fast-paced environment.

You will likely have:

Minimum 2 years of customer-facing experience, preferably in healthcare, hospitality, or a service-oriented setting.
A collaborative, team-oriented mindset with a desire to build positive professional relationships.
A compassionate, client-focused approach with the ability to adapt communication styles and maintain appropriate boundaries.
Strong organizational and multitasking skills, with the ability to prioritize tasks and remain calm under pressure.
A fast learner who adapts quickly to new technology and software, including Jane App, Microsoft Office, Claude, and Google Workspace.

To be successful in this role, we recommend a degree in healthcare administration, psychology, or a related field.

What We Offer

A full-time, Monday to Friday schedule with weekends free
Competitive pay plus a benefits package
Hands-on training and mentorship, with exposure to both counselling and assessment services
A supportive, collaborative team where your ideas are welcomed and your work is valued
A clear path to an extended or permanent role based on clinic growth and performance

Our Values

Our team is guided by seven core values: delivering excellence, accessibility and inclusivity, collaboration and accountability, a growth mindset, practical and meaningful outcomes, connection, and outreach and impact. We are looking for someone who will bring these to life in their work every day.

How to Apply

Apply through this posting with your resume and a short cover letter telling us why this role appeals to you. We review applications as they come in and will contact candidates to discuss next steps.

We look forward to hearing from you!
