Position Summary:

Under the supervision of the Student Success Centre Manager, the Student Advising Supervisor provides program and career guidance to both prospective and current students. The incumbent will provide relevant information regarding student services such as wellness, finance, career, accessibility, immigration support, among others. The Student Advising Supervisor will directly supervise a team of MUNACA staff and AMUSE administrative casuals. The Incumbent reviews student files, collects data and makes decisions within their area of responsibilities. They also participate in recruitment and retention initiatives, student advising, student onboarding and engagement activities, among others.

Primary Responsibilities:

Communicate with current students on program requirements and course registration ensuring thorough knowledge of the University’s academic policies and regulations .

Inform prospective students regarding SCS programs and related possible career paths 
Address and update student records related to all academic issues in the unit, including academic appeal processes, working in close collaboration with SCS Enrollment Services and Academic domains.

Assess students’ academic records for course selection and where needed, and in consultation with domains, approve course registration, overrides, Academic Appeals, program extension, course/program withdrawal requests, exam conflicts, course substitutions, exam deferrals and program transfers.

Administer the parameters for student success advising, collaboratively with domains and SSEM.

Provide relevant information regarding student services such as wellness, finance, career, accessibility, immigration, community based- supports among others.

Act as a resource person for early alert (failures/ withdrawals)

Directly supervise a team of administrative employees including Student Affairs Coordinator, Administrative Coordinator, Service Representatives and AMUSE casuals. Meets with employees regularly to assign work, train, coach, set deadlines, verify work.
Participate in hiring/probation/trial period review. Approve vacation and absences. At events, assign schedules and tasks.
Oversee tasks related to exams delivered in collaboration with Student Accessibility and Achievement (SAA) and the School of Continuing Studies, including the administration of mid-term exams and support and guidance for current and prospective students.

Oversee the usage and functioning of online platform for job posting, students' appointments and events

Oversee career advising activities, and in particular student consultations for job search strategies, CV and interview preparation sessions, and provide follow-up support .
Implement SCS Student communication strategy via different platforms e.g. social media emails in collaboration with SCS Communications team
Administer Career and Student engagement events, in collaboration with employers, MACES and community-based organizations

Represent SCS in recruitment related event e.g. information sessions, fairs, salons, etc.

Oversee the development and implementation of orientation/onboarding activities to support student onboarding and engagement in collaboration with other units .
Administer surveys and conduct focus groups with students to ensure that the programs and services being delivered continue to meet their needs and remain in line with the recruitment, engagement, and retention strategies of the school
Administer student surveys/assessment tool

Track of student advising/note taking

Collect and present data including student inquiries, appointment volume and type, and user profiles 

Other Qualifying Skills and/or Abilities
Bachelor's degree in a relevant field is an asset. Requires a minimum of 3 years of relevant experience in an educational institution. Proven organizational, communication, presentation and customer service skills. Demonstrated ability to interact with students, the public and all levels of staff. Ability to promote SCS in person or using virtual platforms. Ability to independently evaluate complex situations, deal sensitively, responsibly, and calmly with students and refer to appropriate professional resource people. Demonstrated capacity to exercise judgment to prevent outcomes that could be detrimental to the student experience, such as delayed progression and postponed graduation. Ability to work independently and as part of a team and carry-on simultaneous deadline-driven projects. Demonstrated ability to work in a computerized environment, using MS Office platform, virtual meeting platforms such as Zoom, MS Teams, WebEx and web-based internal systems such as Banner SIS and Minerva. Willingness to work outside of regular hours, on occasion, to accommodate the nature of certain recruiting events.
