About the Role

We are expanding rapidly and need a dedicated Office Assistant to centralise all front‑desk, facilities, and office‑service functions. You will be the first point of contact for visitors, badge issuance, equipment ordering, and daily amenities.

Key Responsibilities

Area	Duties (weekly hrs)
Reception & Security	Greet visitors, issue temporary badges, maintain visitor log, receive packages, pick up the mail. Monitor badge readers, review security incident Back up Facility security Officer to: • Co-ordinates physical security of the facility; • Manages the alarm/monitoring system; • Manages security and cleaning personnel; • If applicable, liaises with any building tenants to ensure their adherence to MDA Space security requirements; and • Liaison, as necessary, with Local Police Departments.
Facilities & Amenities	Refill coffee machines, sparkling‑water taps, restroom supplies, generator fuel level checks; schedule/run dishwashers; oversee refrigerator cleaning/stocking; schedule supply replenishment orders with vendors (coffee supplies, office supplies, etc.); coordinate shipping.
Equipment Procurement (LN)	Prepare and support · ~12 weekly orders: Purchase requests, Material Service Requisition (MSR) forms. · expense claims, · track status, · maintain dashboard
Printer / Shredder Management	Refill toner/paper, log service tickets
Meeting‑Room & Lunch‑Area Coordination	AV setup, reservation management, event support
Health & Safety	Primary First aid contact, Daily walkthroughs, incident logging, escalation
Microsoft Shifts Roster	Maintain roster, generate weekly “who is onsite” reports, train supervisors
IT Front‑Desk Triage	Answer basic “where is the printer?” queries, forward technical tickets
Administrative Support	Assist onboarding/off‑boarding, maintain contact directory, provide on‑call rotation, maintain vacation schedule
Backup / Escalation	Act as on‑call backup for badge/visitor emergencies; coordinate with Building Manager for high‑risk cases

Delegation when absent: Supervisors act as rotating on‑call backups; the Building Manager steps in only for high‑risk security incidents.

Required Qualifications & Skills

High‑school diploma + college/technical training (preferred).
≥ 2 years experience in office administration, reception, or facilities coordination.
Health & Safety qualification:
- Understand provincial rules like those from CNESST for Quebec workplaces.
- Basic H&S certification: Recent standard first aid and Cardiopulmonary Resuscitation Response (CPR) course accreditation.
- Hazard Spotting: Review, find and fix common office risks.
- Emergency Plans: Help run fire drills and evacuation steps.
Strong customer‑service orientation and professional demeanor.
Excellent organizational skills; ability to manage multiple concurrent tasks.
Proficiency with Microsoft Office suite
Familiarity with security and badge‑access systems
Ability to follow detailed Standard Operating Procedures (SOP) and maintain accurate logs.
Strong written and verbal communication in both French and English.
The ability to get SECRET level status.

Preferred Experience

Prior exposure to a secure or mission‑critical environment.
Experience maintaining live desk‑maps or hot‑desking systems.
Knowledge of health‑ and‑safety practices in an office setting.
Experience with Microsoft Shifts or similar scheduling tools is a plus.

Principales responsabilités

Réception et sécurité	Accueillir les visiteurs, délivrer des badges temporaires, tenir à jour le registre des visiteurs, réceptionner les colis et aller chercher le courrier. Surveiller les lecteurs de badges, examiner les incidents de sécurité Assister l’agent de sécurité des locaux dans les tâches suivantes : • Coordonner la sécurité physique des installations; • Gérer le système d’alarme et de surveillance; • Gérer le personnel de sécurité et d’entretien; • Le cas échéant, assurer la liaison avec les locataires du bâtiment afin de garantir leur respect des exigences de sécurité de MDA Space; et • Assurer la liaison, si nécessaire, avec les services de police locaux.
Installations et équipements	Recharge des machines à café, robinets d’eau gazeuse, approvisionnement des sanitaires, vérification du niveau de carburant des générateurs ; programmation et mise en marche des lave‑vaisselle; supervision du nettoyage et du réapprovisionnement des réfrigérateurs; planification des commandes de réapprovisionnement auprès des fournisseurs (café, fournitures de bureau, etc.); coordination des expéditions.
Approvisionnement en matériel (LN)	Préparer et fournir un soutien : · Environ 12 commandes par semaine : demandes d’achat, formulaires de demande de fournitures (MSR). · demandes de remboursement de dépenses, · suivi de l’état d’avancement, · gestion du tableau de bord
Gestion des imprimantes et des déchiqueteuses	Réapprovisionnement en cartouches d’encre et en papier, enregistrement des billets d’intervention
Coordination des salles de réunion et de l’espace de restauration	Installation du matériel audiovisuel, gestion des réservations, assistance au cours des événements
Santé et sécurité	Interlocuteur principal pour les premiers secours, rondes quotidiennes, enregistrement des incidents, remontée des problèmes
Horaires de travail Microsoft	Gérer les effectifs, générer des rapports hebdomadaires sur la présence du personnel, former les superviseurs
Triage à l’accueil informatique	Répondre aux questions simples du type « Où se trouve l’imprimante? », transmettre les billets techniques
Soutien administratif	Assister à l’intégration et au départ des employés, tenir à jour le répertoire des contacts, assurer la rotation sur appel, gérer le calendrier des congés
Remplacement / Recours hiérarchique	Assurer le remplacement en cas d’urgence liée aux badges ou aux visiteurs; coordonner son intervention avec le gestionnaire des installations pour les cas à risque élevé

Délégation en cas d’absence : les superviseurs assurent à tour de rôle les remplacements sur appel; le gestionnaire des installations intervient uniquement en cas d’incidents de sécurité à risque élevé.

Qualifications et compétences requises

Diplôme d’études secondaires + formation universitaire ou technique (un atout).
≥ 2 ans d’expérience dans l’administration de bureau, l’accueil ou la coordination des installations.

Qualification en santé et sécurité :
- Maîtrise des réglementations provinciales, telles que celles de la CNESST pour les lieux de travail au Québec.
- Certification de base en santé et sécurité : Attestation récente d’un cours standard de premiers secours et de réanimation cardio-pulmonaire (RCP).
- Identification des risques : Examiner, repérer et corriger les risques courants au bureau.
- Plans d’urgence : Participer à l’organisation des exercices d’incendie et à la mise en œuvre des procédures d’évacuation.

Sens aigu du service client et attitude professionnelle.
Excellentes compétences organisationnelles; capacité à gérer plusieurs tâches simultanément.
Maîtrise de la suite Microsoft Office
Connaissance des systèmes de sécurité et d’accès par badge

Expérience souhaitée
