This job is for a current vacancy.

The Role:
Medcan is seeking a hands-on Manager, Facilities to lead the safe, reliable and high-quality operation of its flagship clinic at 150 York Street while providing facilities expertise and operational support across Medcan's multi-site network. The role is accountable for the day-to-day performance of the physical environment, including maintenance, repairs, inspections, workplace readiness, vendor coordination, access control, space support and facilities and valet  service delivery.

Working closely with clinic operations, Hospitality, Clinical teams, Information Technology, Health and Safety, landlords and external service partners, the Manager ensures that facilities issues are anticipated, prioritized and resolved with minimal disruption to clients and team members. The successful candidate combines strong operational discipline with a hospitality mindset, visible leadership and sound judgement in a fast-paced healthcare environment.

What You'll Do:
Facilities Operations at 150 York

  • Lead the day-to-day facilities and maintenance operation for the 150 York flagship clinic, ensuring client, clinical, office and team spaces are safe, functional, clean, attractive and ready for use.
  • Serve as Medcan's primary facilities contact with the landlord and property management team, coordinating building services, access, maintenance, deliveries, shutdowns, repairs and escalations.
  • Maintain a visible presence throughout the clinic and conduct scheduled and pop-up inspections to identify deficiencies in cleanliness, functionality, safety, presentation and maintenance.
  • Triage facilities requests and work orders, set priorities based on operational and client impact, assign work and follow issues through to verified completion.
  • Oversee preventive maintenance schedules, equipment and asset servicing, furniture, fixtures, workstation inventory, storage and general workplace readiness.
  • Coordinate meeting-room and event set-ups, internal moves, installations and after-hours deliveries or project work as required.

Multi-Site Facilities Support

  • Provide facilities guidance and responsive operational support to Medcan satellite clinics, partnering with local leaders to assess needs, resolve issues and maintain consistent standards.
  • Help establish common facilities processes, inspection routines, service expectations, documentation and escalation pathways across locations.
  • Support new clinic openings, renovations, relocations and service expansions by contributing facilities requirements, operational-readiness reviews, vendor coordination and transition planning.
  • Identify recurring or enterprise-wide facilities risks and opportunities, and recommend practical, scalable solutions that reflect the needs of different sites.

People Leadership and Service Delivery

  • Lead, schedule, coach and develop Facilities, Maintenance  and Valet team members, establishing clear priorities, service expectations and accountability for follow-through.
  • Create a responsive, solutions-focused service culture that recognizes the connection between the physical environment, team effectiveness and the client experience.
  • Manage timekeeping, coverage, workload allocation, training and day-to-day performance, ensuring appropriate support across Medcan's hours of operation.
  • Build effective working relationships across clinical and operational teams, keeping stakeholders informed and escalating issues at the right time.

Vendor, Contract and Financial Management

  • Manage relationships with contractors and service providers, including sourcing quotes, coordinating access and work, monitoring service quality and addressing performance concerns.
  • Support competitive bidding, scope development and vendor selection for assigned maintenance, repair and small-to-medium capital projects.
  • Develop and manage facilities operating plans and budgets in partnership with leadership; monitor spending, validate invoices and identify responsible cost-saving opportunities without compromising safety, quality or service.
  • Maintain accurate vendor, warranty, service, asset and project documentation.

Safety, Security and Operational Resilience

  • Partner with Health and Safety and operational leaders to support compliance with applicable health, safety, environmental, accessibility and building requirements.
  • Conduct and document facilities inspections and audits, address identified hazards or deficiencies and support corrective-action follow-up.
  • Oversee access-control administration and physical-security protocols in partnership with appropriate internal and external stakeholders.
  • Coordinate facilities response to urgent events such as leaks, outages, equipment failures, building alarms and other disruptions; support business-continuity and emergency-readiness activities.
  • Ensure planned shutdowns, high-impact repairs and after-hours work are communicated and coordinated to protect clinical operations and the client experience.

Projects, Space and Continuous Improvement

  • Support assigned facilities projects from planning and scoping through vendor coordination, implementation, close-out and operational handover.
  • Partner with stakeholders on room reallocations, renovations, seating plans and space optimization to support service needs and future growth.
  • Use work-order data, inspection findings, client and team feedback, service trends and budget information to identify improvement priorities.
  • Promote sustainable facilities practices, including energy conservation, responsible procurement and waste reduction where operationally appropriate.
  • Use Medcan's computerized maintenance management system, currently Limble, to support work-order management, preventive maintenance, documentation and reporting.

What You'll Need:
Post-secondary education in Facilities Management, Building Operations, Business Administration, Hospitality, Healthcare Management or a related field; an equivalent combination of education and experience will be considered.

  • At least five years of progressive experience in facilities, building operations, workplace services or hospitality operations, including people-leadership responsibility.
  • Experience managing facilities in a complex, high-touch environment; healthcare, wellness, hospitality, commercial office or multi-site experience is strongly preferred.
  • Demonstrated experience managing vendors, contracts, work orders, preventive maintenance and small-to-medium projects.
  • Working knowledge of workplace health and safety, physical security, accessibility and building-operations practices.
  • Experience with budgeting, invoice review, purchasing and cost management.
  • Proficiency with Microsoft Word, Excel, Outlook and PowerPoint; experience with computerized maintenance management systems such as Limble is preferred.
  • Valid driver's licence and ability to travel occasionally between Medcan locations, as operationally required.

Primarily on site at 150 York Street, with periodic visits to other Medcan clinics. Availability to support work outside regular business hours for planned installations, shutdowns, urgent repairs or operational incidents when required. Frequent movement throughout an active clinic environment and regular interaction with clients, team members, vendors and building personnel. Ability to safely perform the physical activities normally associated with facilities oversight, including walking sites, inspecting spaces and occasionally moving or handling light workplace materials.
