Description:
The Document Control Administrator provides administrative support to the office and leadership team, ensuring the efficient day-to-day operation of office functions and documentation systems. This role is responsible for overseeing office administration activities, maintaining accurate records, and managing document control processes to ensure information is organized, current, and accessible.

The Document Control Administrator plays a key role in supporting effective communication between office staff, field teams, and leadership, while ensuring office operations and documentation practices remain organized, responsive, and aligned with Michels Canada standards.

Responsibilities:

Maintain and promote a strong safety culture for all employees, vendors, and customers. Follow all safety policies, procedures, and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
Provide administrative support to the Director and leadership team, ensuring efficient day-to-day office operations and alignment of administrative priorities.
Oversee general office administration, including correspondence, filing systems, records management, time submissions, and maintaining organized and accurate documentation.
Own and manage document control processes for the office, including setting up, maintaining, and improving electronic and hard-copy filing systems in alignment with company standards.
Receive, track, organize, and maintain internal and external documentation, including project-related records, ensuring accuracy, accessibility, and proper version control.
Act as the central point of contact for internal documentation and office communication, supporting information flow between office staff, field teams, and leadership.
Coordinate office schedules, meetings, travel, and administrative logistics for leadership and team members as required.
Support financial administrative processes, including expense tracking, time submissions, and maintaining related records.
Coordinate onboarding and offboarding activities, including document setup, system access, and maintaining employee records.
Maintain office supplies, office environment, equipment, and vendor relationships to support uninterrupted operations.
Assist in the preparation and formatting of reports, presentations, and documentation for leadership and internal use.
Identify opportunities to improve administrative and document control processes and support implementation of best practices.
Liaise with vendors, service providers, and internal stakeholders to support office and documentation needs.
Perform other duties as assigned by the Director or leadership team.

Requirements:

High school diploma or GED required
3-5+ years of office and/or construction administration or related experience. Experience with document control and managing construction project documentation is preferred.
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities with strong attention to detail.
Ability to handle confidential information with discretion and professionalism.
Ability to manage multiple projects and competing priorities in a fast-paced environment.
Strong customer service and interpersonal skills.
Post-secondary education in Office Administration or a related field is considered an asset. Ability to work independently with minimal supervision as well as collaboratively within a team environment.
