- This position provides on-site administrative support work
This position provides administrative support work, providing a variety of detailed, procedural program information and services to external customers. Position often explains procedures and guidelines for multiple program areas and resolves internal and external customer problems by applying multiple information sources. Acts as primary receptionist to visitors of the Department of Children, Youth and Families. Determines visitor’s needs and directs to appropriate solutions. Supports agency conference rooms by providing technical assistance and acting as a subject matter expert and liaison with MNIT on conference room technology. Works with internal customers on scheduling conflicts, room set-up and other meeting room logistics. Reviews and assigns work orders, acts as liaison with maintenance and cleaning personnel on day-to-day building needs and provides internal and external customer service functions at the reception desk. Processes parking contracts and metro transit passes. Covers other facilities related duties including mailroom, central supply or other critical business functions to ensure agency operations are fully operational.
Responsibilities Include
- Acts as primary receptionist to visitors of the Department of Children, Youth and Families. Determines visitor’s needs and directs to appropriate solutions. Distribute, collect and monitor visitor badges and sign in process to comply with DCYF policies and procedures. Answer all incoming calls to DCYF main line, determine callers’ needs and connect caller to the requested information, appropriate staff, or other resource that may extend beyond the department to ensure their needs are met. Maintain an agency operations procedure guide containing procedures for each type of call or resource needed to ensure seamless customer service.
- Work collaboratively with Facilities, Operations and Communications staff to implement and coordinate the division’s intranet site updates and agency-wide Facilities related e-mails according to department policies, procedures and guidelines. Serve as first point of contact for agency employees regarding events, safety issues, general facility issues or work orders and answering related questions.
- Conference room scheduling, set-up, technology support and readiness are supported to meet departmental needs.
- Process and track parking contracts and metro pass agreements for agency staff. Work with Financial Operations division to submit necessary payroll and contract forms.
- Provide coverage across facilities team.
Minimum Qualifications

- Variety of experiences working effectively with others from different backgrounds and cultures.
- Skill in customer service to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence.
- Skill in database management sufficient to develop and maintain databases and calendars for staff.
- Skill in customer service sufficient to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes
- Ability to explain policies and procedures in a clear, concise, and professional manner to both internal and external customers.
- Knowledge of communications sufficient to explain the reasons for transactions and procedures, rules, and regulations to so that others understand the information they are being given.
Preferred Qualifications
- One (1) or more years of experience providing professional front desk or receptionist support.
- Ability to manage visitor access, facility or building security systems, and handle confidential or sensitive information appropriately.
- Ability to prioritize multiple tasks in a fast-paced environment while maintaining attention to detail and accuracy.
- Skill in customer service to respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence).
- Variety of experiences working effectively with others from different backgrounds and cultures.
