Service Coordinator / Administrator

Brampton

Our client, an established HVAC and mechanical services company, is looking for a Service Coordinator / Administrator to join their team in Brampton. This is a key coordination role supporting day-to-day service operations across commercial, industrial, and critical-environment clients. The successful candidate will be responsible for coordinating technicians, managing service requests and work orders, communicating with customers and vendors, and providing administrative support throughout the service process.

This position reports to the Director of Operations and Director of Mechanical Services.

Key Responsibilities:

Coordinate day-to-day service activities, including scheduling appointments and dispatching technicians.
Optimize technician schedules based on customer requirements, urgency, location, and technician capabilities.
Prioritize and dispatch emergency and non-emergency service calls.
Act as a primary point of contact for customers and vendors regarding service requests, quotes, orders, invoices, and material deliveries.
Monitor technician field reports and ensure completed work is accurately documented.
Provide technicians with the information and documentation required to complete service calls effectively.
Create, open, update, and manage work orders through the company’s electronic software platform.
Review technician field reports and assist with preparing quotes for basic maintenance requirements.
Prepare time-and-material and maintenance invoices.
Keep customers informed regarding scheduling, service activity, and other relevant updates.
Assist with general administrative and customer-service requirements as needed.

Qualifications:

Must have a minimum of 2-3 years HVAC/mechanical or a related field-service industry.
Strong organizational, scheduling, and administrative skills.
Excellent written and verbal communication skills.
Strong customer-service skills and a professional approach to handling customer requests.
The ability to prioritize urgent requests while managing multiple active service calls and work orders.
Strong attention to detail and accuracy with documentation.
The ability to work effectively with field technicians and internal operations teams.
Comfort working with electronic work-order, scheduling, or service-management software.
The ability to work independently while contributing to a collaborative team environment.

Experience within HVAC, mechanical services, construction, building services, facilities management, or another field-service environment is a MUST
