Administrative Assistant – Environment and Climate Change

Position Status: Part-time (min. 16 to 30 hours/week), Permanent
The Otipemisiwak Métis Government is recruiting for a part-time Administrative Assistant to support the Environment and Climate Change team. Reporting to the Director of Environment & Climate Change (ECC), this position will be responsible for ensuring smooth day-to-day operations of the ECC department. The successful candidate will handle office tasks; provide polite and professional assistance via phone, mail, and email; assist in implementing effective filing and finance management processes; and be a helpful and positive presence in the workplace. The Administrative Assistant will be a master multi-tasker with excellent communication skills and an upbeat attitude and will be required to take direction and work intuitively to support the completion of the department’s goals and objectives in a professional and culturally appropriate manner.
Key Responsibilities
- Ensure that administrative activities are delivered in a timely and efficient manner.
- Work cooperatively with all team members to support the achievement of work plan activities and actively participate in the department’s team meeting and planning sessions.
- Assist with expense tracking, purchase orders, and other administrative financial processes.
- Process and record payments accurately and in a timely manner, ensuring all transactions are properly documented and reconciled.
- Enter and process invoices and expense claims with accuracy.
- Perform clerical functions such as, receiving visitors, arranging conference calls, and scheduling meetings for department staff or designates.
- Prepare, distribute, and appropriately file meeting agendas, records, and meeting minutes.
- Prepare and complete internal and external correspondence, including legal documents, forms, letters, reports, presentations, and other documents.
- Maintain accurate and organized electronic and physical records.
- Assist with administration of Otipemisiwak Métis Government provincial events & programs and coordinate and complete special projects.
- Assist in planning, organizing, coordinating, and implementing various operational programs.
- Order supplies and track inventory for department programming and events.
- Book travel accommodations.
- Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders.
- Maintain a high level of cultural sensitivity, professionalism, and confidentiality in all interactions and when handling sensitive documents.
- Provide general administrative support to department staff and assist with other duties as required.
- Other duties as required or assigned.
Skills & Competencies
- Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity.
- Proficient in Microsoft Office programs (including Word, Excel, and SharePoint).
- Superior written and verbal communication skills, including professional email etiquette.
- Strong planning and organizational skills, with an ability to organize and prioritize daily tasks and long-term objectives.
- Excellent interpersonal skills, with the ability to build strong working relationships.
- Ability to work independently as well as part of a team.
- Willingness to learn and develop new skills.
- Flexible and adaptable, with an ability to switch between multiple priorities.
- Ability to work with and convey messages to different audiences.
- Political and cultural sensitivity.
- Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture, people, and values is an asset.
Qualifications
- Administrative certificate/diploma or education in a related field is an asset. Other relevant training and/or experience is considered valid.
- Minimum of two (2) years of experience in a similar administrative or receptionist role, preferably within a government, non-profit, or Indigenous organization.
- Minimum of two (2) years of customer service experience required.
- Knowledge and/or experience in environment, climate change, and sustainability is an asset.
Other Requirements
- Availability to work part-time hours during regular office hours, Monday to Friday, 8:30am to 4:30pm, with flexibility to work occasional evenings and weekends as required.
- Ability to work in-office in Edmonton, Alberta.
- Ability to travel throughout Alberta, if given notice.
- Reliable transportation and a valid Class 5 Driver’s License
- Acceptable attainment of a Police Information Check is required.
