Events Coordinator

Location: 11738 Kingsway NW, Edmonton, Alberta

Position Status: Full Time (40 hours/week), Permanent

The Otipemisiwak Métis Government is recruiting for an Events Coordinator. Reporting to the Director of Communications & Citizen Engagement, the Events Coordinator will be responsible for planning, coordinating, and executing large scale internal and external events. Events include, but are not limited to, the annual Citizen’s Gathering, Métis Week, and staff conferences. The Events Coordinator will work closely with internal teams and vendors to ensure the seamless execution of events from inception to completion. The successful candidate must possess exceptional project management skills, attention to detail, communication skills, and demonstrated experience leading diverse teams.

Key Responsibilities

Establish planning committees that are tailored to the specific needs and objectives of each event, ensuring committees are in place to assist in event execution.
Provide direction to committees to ensure events run smoothly according to projected timelines and objectives.
Develop and implement strategies to continuously improve experience at events for both employees and citizens, ensuring a consistently high level of satisfaction with each event.
Create, manage, and optimize event budgets to ensure all events are executed within financial limitations by efficiently allocating resources and implementing cost-saving measures.
Oversee event setup, logistics, day-of operations, and post-event teardown to ensure a seamless experience for all attendees.
Collect feedback, assess event success, and create detailed reports to use for future event planning.
Establish and maintain strong working relationships with vendors to coordinate and/or negotiate services including, but not limited to, venues, catering, guest speakers, and audio-visual.
Collaborate with members of the Communication and Citizen Engagement Department to promote and publicize citizen-focused events, coordinate the creation of print materials, and arrange for event photography and videography.
Collaborate with the Human Resources Department to develop innovative strategies that align employee engagement and ensure occupational health and safety standards for events.
Assist with the administration of departmental initiatives.
Provide additional support to ensure the Executive Department meets its event goals and objectives.
Maintain organized filing systems for both electronic and physical records, ensuring confidentiality and accuracy.
Develop and maintain constructive working relationships with both internal and external stakeholders, including leadership, staff, and business and community partners.
Maintain a high level of political awareness, cultural sensitivity, professionalism, and confidentiality in interactions with internal and external stakeholders.
Present a positive and professional image of the organization when interacting with employees, clients, visitors, and other external stakeholders.
Other duties as required or assigned.

Skills and Competencies

Excellent analytical and critical thinking skills with the ability to identify issues and implement creative and strategic solutions to overcome problems.
Self-motivated and demonstrated initiative in identifying and addressing operational deficiencies, process gaps, or other possible improvements to operations.
Flexible and adaptable with an ability to thrive in a dynamic and changing environment.
Ability to work under pressure and handle tense and stressful situations.
Strong organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously.
Exceptional attention to detail.
Exceptional project management and coordination skills with the ability to manage complex events, including budgeting, scheduling, and resource allocation.
Exceptional verbal, written, and interpersonal communication skills, with an ability to produce professional documents, reports, and presentations.
Proven track record of building collaborative partnerships with a variety of internal and external stakeholder
Strong sense of ethics, professionalism, and political and cultural sensitivity.
Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government is an asset.

Qualifications

Post-secondary education in Event Management, Hospitality, or related field. A combination of relevant education and experience will be considered.
Minimum two (2) years’ experience in a similar role, with proven event planning experience.
Experience working in an Indigenous and/or non-profit setting is an asset.

Other Requirements

Position is based in Edmonton; in-office presence is required.
Ability to work a regular schedule of Monday – Friday, 8:30 AM – 4:30 PM with some evenings and weekends to carry out events.
Reliable transportation and a valid Class 5 Driver’s License.
Travel within Alberta is required, with notice.
Additional, less frequent, out-of-province travel may also occur, with notice.
Acceptable attainment of a Police Information Check is required.
