  • Receive awarded projects from the estimating team and initiate the required operational activities.
  • Coordinate the procurement of tile, flooring, raw materials, and other project supplies.
  • Prepare, process, and track purchase orders and related project documentation.
  • Organize project materials and coordinate with warehouse personnel to ensure items are selected, prepared, and ready for delivery.
  • Plan and coordinate material deliveries to job sites based on project schedules and field requirements.
  • Collaborate with field project management to develop, maintain, and communicate project schedules.
  • Create and maintain project information, documentation, and work packages for subcontractors and materials.
  • Contact site supervisors and subcontractors to communicate project start dates, schedules, material requirements, and other relevant information.
  • Maintain accurate digital and physical records, including project data, operational documents, purchase information, and supporting materials.
  • Update and maintain project information within Buildertrend, ensuring records remain accurate and current.
  • Monitor operational activities and follow up with internal and external stakeholders to keep projects progressing as planned.
  • Support communication and coordination between operations and finance, particularly for larger projects and Statements of Value.
  • Prepare and maintain Excel spreadsheets, reports, trackers, and other operational information as needed.
  • Identify scheduling, material, or delivery issues and work with the appropriate team members to resolve them promptly.
  • Provide ongoing administrative and project coordination support to the operations team.
  • Take on additional operational responsibilities as the company and position continue to grow.

What You Bring

  • Post-secondary education in business administration, construction management, project management, or a related field is preferred.

  • Strong proficiency with Microsoft Excel and the ability to create and maintain spreadsheets, trackers, and project-related reports.
  • Experience with Buildertrend or similar construction management software is preferred.
  • Familiarity with purchase orders, material procurement, delivery coordination, project documentation, and scheduling.
  • Strong organizational and time management skills, with the ability to manage multiple projects and competing priorities.
  • Ability to shift between tasks, respond to changing priorities, and follow through in a fast-paced environment.
  • Strong verbal and written communication skills, with the confidence to coordinate across office teams, field personnel, subcontractors, suppliers, and clients.
  • Strong attention to detail and the ability to maintain accurate digital and physical records.
  • A practical understanding of project workflows and the coordination required to move projects from estimating into execution.
  • Proactive problem-solving skills and the ability to identify operational issues before they affect project timelines.
  • Reliable, collaborative, and comfortable taking ownership of responsibilities.
  • Positive, coachable, and adaptable, with an interest in growing into broader operations or project management responsibilities.
