The Learning & Development Events and Employee Experience Coordinator is responsible for planning, coordinating and executing internal learning events and development experiences that build capabilities, support onboarding and strengthen employee engagement and firm culture. With a primary focus on Learning & Development (L&D) programming, this role ensures that workshops, orientations, leadership sessions, conferences and other learning experiences are delivered seamlessly across virtual, hybrid and in-person formats.
The successful candidate will work closely with Human Capital, business leaders, facilitators, vendors and team members across the firm to deliver seamless, engaging and impactful events.
Responsibilities
Learning & Development Event Planning & Coordination
- Plan, organize and execute a variety of L&D events and programs, including onboarding programs, new CPA and co-op orientations, workshops, leadership development sessions, conferences, learning forums and networking events.
- Coordinate end-to-end logistics for learning events, including venue selection, catering, room setup, travel arrangements, technology requirements, learning materials and participant registration.
- Manage annual L&D event calendars and coordinate event schedules to ensure successful execution.
- Coordinate virtual, hybrid and in-person learning events across multiple regions.
- Develop detailed event plans, timelines and project trackers to ensure milestones and deadlines are met.
- Serve as the primary coordination point for attendees, speakers, facilitators, vendors and internal stakeholders before, during and after each learning event.
- Provide on-site and virtual support to facilitators and participants to create an accessible, engaging and exceptional learning experience.
L&D Event Administration
- Manage event registrations, attendance tracking, waitlists and participant communications.
- Prepare and coordinate learning materials, presentations, facilitator resources, signage, name badges, agendas and participant packages.
- Track event budgets, vendor invoices and expenses.
- Maintain event databases, distribution lists, learning records and reporting tools.
- Coordinate post-event surveys and feedback collection.
Facilitator, Vendor & Stakeholder Management
- Build and maintain strong relationships with facilitators, venues, suppliers, caterers and external partners.
- Negotiate and coordinate event and learning delivery services to ensure quality delivery & cost effectiveness.
- Collaborate with Human Capital & business leaders to understand event objectives and deliver successful experiences.
Communication & Employee Engagement
- Develop promotional and communication materials to drive awareness and participation.
- Coordinate event invitations, reminders, confirmations and follow-up communications.
- Support initiatives that enhance employee engagement, networking, recognition and culture.
- Contribute creative ideas to improve the overall employee experience and event participation.
Reporting & Continuous Improvement
- Monitor attendance, participation and event satisfaction metrics.
- Prepare post-event reports and recommendations.
- Identify opportunities to improve event processes, participant experience and operational efficiency.
- Continuously evaluate trends and best practices in corporate event management and employee engagement.
Skills and Experience
- Post-secondary education in Event Management, Business Administration, Human Resources, Marketing, Communications or a related field.
- 2 to 4 years of experience coordinating corporate events, conferences, onboarding activities, employee engagement initiatives or other large-scale programs.
- Demonstrated ability to manage multiple events and projects simultaneously in a fast-paced environment.
- Exceptional organizational, planning and project coordination skills.
- Strong attention to detail and ability to anticipate and resolve logistical challenges.
- Strong Microsoft 365 skills (Outlook, Teams, Excel, PowerPoint and SharePoint).
- Excellent written and verbal communication skills.
- Strong client service orientation and stakeholder management skills.
- Ability to work independently while collaborating effectively across teams.
