Administrative & Marketing Assistant

Capital Planning | Edmonton, AB | Full-time, permanent | $50,000–$55,000

We’re seeking a highly organized, detail-oriented professional to support leadership and coordinate day-to-day administrative and marketing work. This person will help keep projects, deadlines, and follow-ups on track, allowing the team to focus on client and business priorities.

Key responsibilities

  • Coordinate logistics for about 10 conferences and events a year: registrations, exhibitor forms, booth materials, setup and follow-up. Some travel and occasional evening or weekend work required.
  • Support marketing: routine website updates, social media posts (Facebook, Instagram, LinkedIn), Mailchimp campaigns, and getting quotes for and ordering marketing materials. We don’t have a marketing department, so you’ll coordinate these activities.
  • Track projects, deadlines, commitments and follow-ups, and keep timelines current as priorities shift.
  • Work directly with the President to organize information and keep priorities moving.
  • Coordinate with team members, clients and external vendors.
  • Spot missing details and flag issues before they become problems.

Qualifications

  • Strong organization, attention to detail and follow-through.
  • Clear, professional written and verbal communication.
  • Ability to manage multiple tasks and deadlines at once.
  • Discretion with confidential client and business information.
  • Comfort with technology and learning new tools (Salesforce, Mailchimp, etc). Experience is an asset; willingness to learn is essential.
  • Assets: experience in executive assistance, administration, project coordination or marketing support; website editing; Adobe Illustrator or similar design tools.

What we offer (Benefits and RRSP matching start after a 3-month probation period))

  • Comprehensive group benefits
  • Group RRSP with employer matching contributions
  • Vacation above the provincial standard
