Student Services Representative - Learning Support Centre (Regular Part Time, Less Than 12 Months)

Status: Regular Part Time (less than 12 months)

Hours: Up to 24 hours/week

Home Campus: Fennell (fully on-site)

Rate of Pay: $20.56 per hour, plus 6% in lieu of vacation

The Student Services Representative, Learning Support Centre (LSC) reports to the Director, Library and Academic Services and supports day-to-day customers. The incumbent provides day-to-day customer service and operational support within the LSC for students, staff, tutors, student leaders, and faculty.

Responsibilities include responding to inquiries, assisting with appointments and scheduling processes, supporting workshops and events, maintaining student spaces, and contributing to a welcoming and student-centered environment within the LSC.

Evening and weekend hours may occasionally be required to support operational needs, events, outreach activities, and peak service periods.

What you’ll be doing:

Front Desk Reception/Triage

Provides front desk reception and service support to students, staff, faculty and visitors accessing LSC services, spaces and academic support resources in person, by telephone and through email communication.
Responds to general inquiries and assists with triaging students to appropriate LSC or College services.
Supports appointment booking, scheduling processes and online booking systems (i.e. WC online) across LSC service areas.
Provides day-to-day operational and administrative support for LSC program, services, workshops and student facing activities.
Supports student staff administrative processes, including tracking employment documentation, confidentiality agreements, onboarding forms, time sheets, and related records to support timely completion and operational continuity.
Maintains and organizes operational records, service documentation, scheduling information and department files in accordance with departmental and college procedures.

Facilitates updates to online booking systems (e.g. WCOnline) for various service areas.
Assists with monitoring student spaces and maintaining organized reception, lounge, and student spaces within the LSC.
Monitors office and operational supply levels within the Learning Support Centre and coordinates ordering needs with the Library and Academic Services Team Lead to support day-to-day operations.

Outreach, Events & Student Engagement Support

Assists in the coordination, promotion, setup and operational support of workshops, outreach activities, student engagement initiatives and events related to LSC services and student success programming.
Assists with updating communication materials, website content, digital signage and social media related to LSC services and events.
Provides operational and customer services support during outreach activities, workshops, events and peak service periods.

Data and Student Usage Metric Tracking

Assists in tracking service usage, student participation, attendance, appointment activity and operational statistics related to LSC programs and services.
Supports collection and organization of student feedback, and service-related data to assist with operational reporting and service improvements.
Maintains operational records related to student staff scheduling, tutor activity, appointment cancellations, onboarding completion and other related service documentation.
Assists with preparing basic operational reports, spreadsheets, and service usage summaries using departmental systems and tracking tools.

Other Duties

Supports additional operational, customer service, and student support activities within the Learning Support Centre as assigned.
Assists with departmental projects, outreach activities, operational improvements, and service support initiatives related to Learning Support Centre operations.
Provides frontline operational support and service coverage during periods of high service demand, workshops, events, peak operational periods, or evolving service needs.

Other duties as assigned.

What you’ll bring to the role:

Minimum 2-year diploma in Education, Human Services, Student Affairs, Office Administration, Communications, or a related field.
Minimum 1 year of related experience supporting customer service, student services, reception, administrative, or operational activities within a post-secondary, educational, or student-facing environment.
Experience supporting students in a fast-paced service environment, including responding to inquiries, scheduling appointments, maintaining records, and supporting day-to-day operations is preferred.
Experience working with student leadership, peer support programs, academic support services, or student success initiatives is considered an asset.
Demonstrated customer service experience supporting students or customers in person, by telephone and through email communication.
Strong organizational, interpersonal and communication skills with the ability to support multiple priorities in a fast-paced student-facing environment.
Experience or training related to academic supports, customer service, peer learning support, accessibility, or post-secondary student support environments is considered an asset.
Proficiency with business computer applications and operational systems including Microsoft Office Suite, email, scheduling and online booking systems, spreadsheets, databases and virtual communication tools.
Ability to learn and adapt to new software systems, operational procedures, and service delivery tools.
Experience supporting social media, website updates, communication tools, or digital promotion activities is considered an asset.
Additional education, certification, or training related to student engagement, leadership, coaching, or mental health/student support is considered an asset.
Ability to work collaboratively within a team environment to support Learning Support Centre operations, student services, and day-to-day service delivery.
Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
The ability to communicate and work effectively with diverse students, employees, and communities.
