Job summary:
The Testing Centre Information Management Specialist supports, implements, evaluates, and promotes testing services for the Mohawk Testing Centre including External Testing, Accommodated Testing, Missed and Makeup Testing, Assessments for Success and Pre-Admission Testing. They will also be responsible for supporting other student success initiatives at all campuses as required.
The incumbent will also support all technical and administrative aspects of the daily operation of the Fennell, IAHS and Stoney Creek Testing Centres as well as systems Accommodate, RegisterBlast, Accuplacer, Maple TA, survey software platforms, and pre-admission tools. The incumbent will also be responsible for the delivery and support of Adaptive Technology software including Dragon, Kurzweil, Jaws and ZoomText to provide students with disabilities the tools they need to successfully write their tests and exams. The position requires a high level of technical knowledge, troubleshooting and analysis on a daily basis to ensure the efficient administration of all academic testing that takes place at the Testing Centres and other student success initiatives.
The position requires a high level of professionalism, ability to navigate a complex and high-paced environment. The incumbent must be comfortable, stay calm and have strong communication skills when working with students with disabilities, external clients and faculty members and a familiarity with the student accommodations process. Additionally, legal and ethical statutes are reviewed and interpreted to ensure that Mohawk College is compliant with the Ontario Human Rights Code and Accessibility for Ontarians with Disabilities Act.
What you’ll be doing:
Operations and Programming
- Day to day operations of the Testing Centre including External Testing, Academic Testing (Accommodated and Missed/Makeup Testing), Assessments for Success and Pre-Admissions testing, such as scheduling invigilators, answering staff inquiries, troubleshooting student scheduling conflicts and coordinating testing session.
- Follow up with students or faculty if accurate test bookings policies and procedures are not being followed.
- Program, customize, extract, compile, manipulate, verify and input data into customized databases to foster smooth testing process for students. Errors would negatively impact students.
- Write and then determine the best means to disseminate the reports once prepared.
- Meet, inform and offer solutions to research needs of the department.
- Troubleshoot and resolve system problems.
- Programming to the internal testing database (VBA Script) and systems (Accommodate and RegisterBlast) required as there are changes in testing requirements.
- Develop, customize and support new LMS courses for external and internal tests as needed.
- Work in partnership with staff, faculty & marketing to develop outreach materials to promote testing services on campus.
- Coordinates outreach to students and faculty regarding relevant tests and testing deadlines.
- Assess and provide recommendations on new tools, software and/or hardware needed for any of the Testing Centres.
- Arrange and facilitates training and demonstrations for part-time and casual staff.
- Develop training material for students and faculty.
Information and Data Management
- Managing the scheduling and registration for all incoming testing requests.
- Manipulate and input data from online student test bookings ensuring students are correctly booking their accommodated test appointment.
- Assist with preparation for upcoming testing cycle by contacting and meeting with all affected departments, verifying testing policies, providing information to staff members, preparing literature to send to students and updating customized database.
- Plan, consult and organize Assessments for Success sessions required by all incoming students to the college by liaising with various college departments including Admissions, Scheduling and Registration and all affected departments, especially ALS, Language Studies and Mathematics.
- Resolve technical issues, troubleshoot system errors and modify script as needed during testing periods at various times, including evenings and weekends, and at all Mohawk College campuses.
- Consult and initiate, as needed, close communication with the Manager to assist in the preparation, manipulation, retrieval, compilation and analysis of data as required for various research projects.
- Create monthly statistical reports for the Manager to be compiled and disseminated.
- Oversee the overall functionality and technical troubleshooting of systems such as Accommodate, Registerblast and Access booking portals.
- Communicate with vendor of platforms to troubleshoot or train on new features – e.g. Accuplacer, Accommodate, Registerblast.
- Data manipulation in way of vlookups and excel cross referencing to ensure accuracy in test administration.
Student & Staff Liaison
- Meets one on one with students to assist with booking tests, particularly when the student is faced with scheduling conflicts.
- Triage and support students who require new testing accommodations as identified when writing tests or exams with centre.
- Support faculty with process of implementing student accommodations.
- De-escalate student situations where there can be frustration regarding tests, scheduling or testing materials.
- Troubleshoot, consult and implement solutions in coordination with faculty, Accessible Learning Services staff and faculty to ensure optimum conditions are in place for the student testing environment.
- Establish and maintain rapport with all third party software technical support personnel.
- Be familiar with the following policies: Testing Centre Policy, Ontario Human Rights Code and Accessibility for Ontarians with Disabilities Act.
- Participate in and follow all departmental safety training and precautions
- Contact students in person, by email and phone to ensure that any conflicting testing appointments are booked or confirmed and collaborating with ALS thereby mitigating risk of human rights complaints. Any misstep with testing accommodations (student does not receive their extra time or alternative technology) can result in human rights violation and escalation.
- Expedites rapid testing appointment for urgent situations and crisis (e.g., referral from Student Rights or Counselling regarding a student in mental health crisis, ALS referral for student in accommodation need with elevated risk).
Other Duties
- Provide first point of contact, direction and support to Testing Centre part-time staff and invigilators.
- Oversee the scheduling and administration of External Proctoring services by liaising with other colleges and academic institutions requiring services and learners writing at the Testing Centres.
- Prepare for upcoming testing cycle by contacting and meeting with all effected departments, verifying testing policies, training staff members, preparing communication to send to students and faculty, and identifying efficiencies in processes. Troubleshoot technical difficulties within the college setting where serving students is the first priority.
- Research, manipulate, assemble and analyze data for departmental and institutional research in support of student success initiatives.

What you’ll bring to the role:
- 3-year diploma/degree in Social Service Worker, Health, Education, Technical Support, or a related field.
- 5 years of experience with college-wide assessments and accommodated testing practices/protocols.
- Excellent operational knowledge of all related systems, software and databases.
- Skilled in troubleshooting, data analysis.
- Excellent communication skills and ability to liaise with other administrative and academic areas.
- Excellent ability to work with students with disabilities/navigate student and faculty situations professionally.
- Expertise in college LMS and development of new MyCanvas courses.
- Programming logic-based systems (e.g. MS Access, webforms).
- Implementation and programming of new systems such as RegisterBlast and Accommodate.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
