YOUR MISSION
Being part of the PMO team (Project Management Office) means committing to the continuous improvement of project management processes and tools, with the goal of simplifying and optimizing project management itself. This involves working on large-scale internal initiatives that require a global vision of the company, as well as a solid understanding of the challenges and needs of various teams and stakeholders.
Within the PMO team, your main mission will be to support the management of both internal and external projects, by optimizing the tools and processes used on a daily basis. You will support team coordination by contributing to the smooth execution of projects. Your role will involve supporting project managers in implementing simple processes and tailored tools, while assisting them as needed in specific contexts. You will also facilitate communication between teams and the tracking of expertise.
Your support will be invaluable in reinforcing the organization, contributing to performance optimization, and facilitating the smooth running of each project - whether internal or external - at every stage of its lifecycle.

EXPLORE YOUR FUTURE ROLE
Internal Project Management
- Support the coordination of internal projects within the PMO, ensuring effective planning, timeline tracking, and resource management.
- Draft and distribute various internal communications for which the PMO is responsible to the entire Project Management Community of Practice and its stakeholders.
- Ensure rigorous follow-up of project conversion stages by handling preparation, structured note-taking, and, as needed, meeting facilitation.
- Manage the daily operation of the PMO inbox and respond agilely to various inquiries from all company departments.
- Support the organization of weekly PMO meetings to track objectives and coordinate task allocation for the week.
Operational management in our project management software: Wrike
- Actively participate in daily administration by managing project configuration (abbreviations, openings, conversions), updating core teams, and handling change orders, while providing platform support to users.
- Provide continuous support to project and service teams using Wrike, including troubleshooting project management-related issues and optimizing processes.
Change Management and Support for the Project Management Community of Practice
- Coordinate the facilitation of the project management community through the preparation of monthly presentations and the complete onboarding of new members (Slack, directory).
Continuous Improvement of Tools
- Support the team in analyzing and improving the tools and processes used within the company.
Process and Budget Management
- Budget & Financial Management (in collaboration with the Director).
- Ensure rigorous tracking of the departmental budget, invoice management, and the expense approval process.
Support for Training and Document Management
- Provide support in the relationship with MF School to help adapt the training offering to the actual needs in the field and support the continuous development of project teams.
- Participate in follow-ups with MF School to ensure the continuous updating of the training atlas and project management-related content on the TalentSoft internal platform.
Documentation Management
- Support PMO documentation management: Assist the team in drafting, updating, and distributing documents (tools, processes), maintaining information spaces (Confluence and HUB), and following up on official PMO templates.
YOUR JOURNEY INCLUDES
- College diploma (DEC) or bachelor's degree in communication, project management, visual arts, and/or any other related experience.
- 2 to 3 years of experience in a coordination and/or project management position.
- Fluency in both French and English, both spoken and written (you will regularly communicate with English-speaking clients in this role).
- Proficiency in Office, Google Workspace software suites and Wrike.
- Work experience in an artistic environment related to Moment Factory's field of activity: multimedia environments, audiovisual production, architecture, events, etc.
Your Transversal Skills
- Independence, initiative, precision, adaptability, and strong organizational skills.
- Demonstrated ability to manage multiple projects simultaneously, work under pressure, and collaborate effectively in a team.
- Attention to detail, effective prioritization, and resourcefulness.
- Excellent communication skills and a customer-oriented approach.
- Comfortable performing clerical/administrative tasks.
