Location: Burlington, Ontario - ON-SITE
Schedule: Full-time, in office, Monday–Friday, 8:30 a.m.–5:00 p.m.
Compensation: $75,000–$85,000 base salary, plus bonus
Monday Management is recruiting an Executive Assistant & Office Coordinator for a family-owned business.
This position supports the CEO primarily, with additional support for the VP and founder. Alongside managing schedules and executive priorities, you’ll help keep the office organized, coordinate company events and handle the details that make a busy day run smoothly.
The team is practical, personable and straightforward. You’ll work closely with owners, office staff and people across the business in an informal environment where priorities can change throughout the day. Someone who enjoys building relationships, takes initiative and is comfortable getting involved in everyday office needs will do well here.
The role:
Executive support
- Manage calendars, coordinate meetings and resolve scheduling conflicts.
- Keep track of priorities, deadlines and outstanding items, following up to ensure things move forward.
- Arrange travel, transportation, reservations and business dinners.
- Prepare meeting materials, correspondence, presentations and other documents.
- Organize receipts, expenses and administrative records.
- Handle confidential business matters and occasional personal or family coordination as the working relationship develops.
Office coordination
- Coordinate supplies, catering, team lunches and meeting-room preparation.
- Welcome clients and visitors and help create a friendly, professional office experience.
- Liaise with vendors and coordinate maintenance or facilities requests.
- Notice what needs attention and take care of practical details before they become disruptions.
Events and projects
- Coordinate the annual charity golf tournament, holiday party and other company gatherings.
- Manage event logistics, invitations, vendors and schedules.
- Assist with light marketing and social media tasks, including content coordination and materials in Canva.
- Support projects and other requests from the leadership team.
What you bring
- At least three years of relevant experience in executive support, senior administration, office management or a comparable role.
- Experience managing competing requests and supporting busy leaders.
- Strong organization, attention to detail and consistent follow-through.
- Good judgment about what to handle independently and when to ask for direction.
- A warm, approachable manner and confidence communicating with different personalities.
- Comfort with straightforward communication, constructive feedback and changing priorities.
- Willingness to handle the full range of responsibilities, from confidential executive matters to ordering lunch or coordinating a repair.
- Strong written communication and confidence using Microsoft Office and everyday business tools.
- Discretion when handling business, financial and personal information.
Experience in a family-owned business, construction, trades, engineering or another hands-on operating environment would be helpful. Event planning, hospitality and Canva experience are also assets.
Who would enjoy this opportunity?
Someone who likes working closely with an executive, enjoys variety and takes pride in being dependable. You should be comfortable in a busy office with an informal atmosphere, where the work includes both executive responsibilities and everyday coordination.
To apply
- Please submit your resume and a brief note about the executives or teams you’ve supported and what interests you about this opportunity. Monday Management will contact selected applicants for an introductory conversation.
