Office Administrator

About MQN

MQN Architects is a full-service architectural firm based in British Columbia, working on a wide range of commercial, institutional, residential, community, and public-sector projects. Our team is collaborative, practical, design-focused, and committed to providing great service to our clients.

We are a busy office full of architects, technologists, designers, consultants, drawings, deadlines, coffee, and the occasional mystery courier package. We are looking for an Office Administrator who can help keep everything - and everyone - moving in the right direction.

The Role

This is a front-of-office administrative role and an important part of the MQN team. You will often be the first person clients, consultants, contractors, and visitors interact with, so we are looking for someone who is friendly, organized, professional, and comfortable juggling a variety of tasks throughout the day.

Your day may include answering and directing phone calls and emails, greeting visitors, coordinating couriers, mail, and deliveries, helping with scheduling and meeting coordination, preparing and formatting documents, maintaining digital and physical files, ordering office supplies, and supporting project teams and management with general administrative tasks. You may also assist with proposals, correspondence, and the occasional last-minute request that somehow becomes very important at 4:45 p.m.

Who We’re Looking For

You do not need to know how to design a building - we have people for that.

What matters more is that you are friendly, approachable, dependable, highly organized, and comfortable communicating by phone and email. You should have strong attention to detail, be able to manage several priorities at once, and feel confident using Microsoft Word, Excel, Outlook, and general office technology.

We are looking for someone who is willing to learn, takes initiative, and is happy to jump in when help is needed. Previous experience in administration, reception, architecture, engineering, construction, or another professional office environment would be an asset, but a great attitude, strong organization, and a willingness to learn are just as important.

Training

We will provide training in MQN’s office procedures, document systems, project administration, professional communication, and the day-to-day workings of an architectural practice. You will work closely with our team and gradually take on more responsibility as you become comfortable in the role.
