Job Description

The primary responsibility of the Payments Administrator is to process remittance related transactions through SWIFT system, support clearing and settlement functions, reconciliation of electronic and manual payments and related administrative activity, filing of regulatory reports, support the testing for products and system changes, and opening and closing of deposit accounts.

Responsibilities:

Operations and Control:

Process Incoming and Outgoing AFT and cheque Clearing items, scan, file and maintain accurate records.
Conduct initial checking of corporate customers’ account documentation; maintain proper records and filing of all documents in customers’ files. Maintain customers' signature list
Perform BAI file reconciliation and process rejected items.
Prepare cashier's orders and certified cheques
Confirm with customers then prepare stop payments on the cheques; account transfers and post all entries related to Deposit accounts accurately and within agreed SLA.
Monitor Accounting’s Bank Reconciliations for various currency accounts and work on investigating and resolving any outstanding items belonging to MTD
Perform End of Day transaction proof, checks and reconciliation of transactions processed in the unit.
Monitor SWIFT interface system, run wireroom daily reports.
Record queues In & Out activities in the SWIFT interface system circulate messages to Managers & Department Head
Prepare customer account statements on weekly, monthly and ad-hoc basis.
Upload cheque images to online banking platform
Process incoming remittances in SWIFT wire processing systems in accordance with Bank’s policies and procedures.
Process outgoing transfers received from customers through Bank’s electronic platform or through other means or received from other internal departments such as Trade Treasury and Loans or Accounting.
Process Term Deposit transactions and prepare any resulting SWIFT transfers for settlement
Create funding memo for domestic and foreign currency remittances.
Process various fees to customer accounts on a monthly or ad hoc basis incl. paper statement mailing, paying bank’s charge for remittances, stop payment, Lockbox service, etc.
Prepare daily and monthly statistical reports for the department.
Administer establishment or cancellation or modification of Correspondent Banking Arrangements and SWIFT RMA. Monthly RMA (Bilateral Key) update

Client Experience:

Examine incoming clearing cheques, identify irregular items, advise customers and return the cheques if necessary, according to Payments Canada rules.
Open, close and maintain Customer accounts within the agreed SLA
Promptly communicate with internal departments and with customers for issues.
Perform and record customer telephone confirmations , to verify details of Remittance Applications
Verify signatures on other account related instructions
Confirm Term Deposit transaction details with customers and provide deposit establishment advices

Regulatory Compliance

Perform Compliance and Risk assessment, QA Workbooks to ensure strict adherence to Bank’s AML, Risk guidelines and regulatory reporting requirements.
Prepare MT199 repair message for transactions with AML Data Quality issue as per Compliance Department’s guidelines.
Review and repair messages processed in Navaera, Bank’s FINTRAC reporting system..
Prepares daily CDIC related Reconciliation Report.
Detect Large Cash transactions, obtain Large Cash Transaction Reports from customer and prepare for submission to Fintrac
Provide compliance and other departments with cheque images as requested for investigations
Monitor SWIFT’s GPI tracker daily

Project Related:

Perform UAT for updates to existing systems and new systems on-boarded by the Bank.

Qualifications:

The ideal candidate should have minimum 1 year's experience in Accounting or Banking and Finance.

Strong Leadership and analytical skills

A strong communications skill, pleasant telephone manners, is able to speak to all levels within the organization and to a diverse group of stakeholders.

•Excellent working knowledge of Microsoft’s Access,Excel, Word, PowerPoint and Outlook.

An ability to work well with others and understand customers’ needs.

An ability to work in a fast paced environment.

A quick learner and attention to details

Education:

Bachelor’s degree in Business or Banking and Finance courses, or a closely-related discipline, or an equivalent combination of formal education and experience
