ABOUT MUSICOUNTS

MusiCounts is Canada's music education charity associated with The Canadian Academy of Recording Arts and Sciences and The JUNO Awards. At MusiCounts, we’re working to build a thriving culture of music education across Canada that prioritizes inclusivity, sustainability, and innovation.

THE OPPORTUNITY

MusiCounts is hiring a Coordinator, Programs & Operations to support the systems, processes, and coordination that help our national programs run smoothly. This new role will support the lifecycle of MusiCounts’ national programs, and the day-to-day operational infrastructure behind the Programs team’s work. The Coordinator will be a frontline contact for stakeholders across Canada and an internal resource for workflow, systems, financial administration, and cross-team coordination. This is an ideal role for someone who is highly organized, detail-oriented, comfortable with technology, and motivated by the operational work that makes high-impact programs possible.

JOB RESPONSIBILITIES

Programs Lifecycle (70%)

Monitor MusiCounts’ programs and applications inboxes, responding to inquiries from applicants, grantees, adjudicators, retailers, and other stakeholders.
Support applicants through the application, allocation, and reporting processes, including portal navigation, technical troubleshooting, and virtual support meetings.
Leverage Blackbaud Grantmaking to develop application forms, dashboards, reporting mechanisms, database maintenance, records, and process improvements.
Support adjudication processes for all MusiCounts programs.
Coordinate grant allocation and invoicing processes, ensuring recipients, retailers, and internal stakeholders have the information and documentation they need.
Facilitate payments and reconciliation processes.
Maintain accurate grant records, applicant data, reporting information, and internal tracking tools.
Support the development and execution of targeted outreach strategies for all of MusiCounts’ national programs.
Offer logistical support for events related to MusiCounts program delivery.

Departmental Operations (30%)

Leverage project management software to support timelines, task tracking, team coordination, and workflow management.
Support the implementation and use of internal coordination tools.
Provide centralized administrative and operational support across MusiCounts, helping keep key documents, schedules, travel logistics, expenses, and internal materials organized and up to date.

SKILLS, EXPERIENCE & QUALITIES

Requirements

Postsecondary education (degree, diploma or certificate) in a related field.
1-2 years of professional experience in some of the job responsibilities listed above. Recent graduates with relevant experience will also be considered.
Polished written and verbal communication skills.
Strong organizational skills and meticulous attention to detail, with the ability to manage multiple projects and deadlines.
Prowess in Google Sheets.
Experience with basic financial administration, including budget tracking, reconciliation processes, and maintaining accurate financial records.
Experience with music - through education, industry, performance, creation or appreciation.
The successful candidate must be self-motivated, highly communicative, and comfortable working independently while also being part of a small, highly collaborative team.

Assets

Experience working with a registered charity or non-profit organization.
Familiarity with grant management software and project coordination tools (particularly Blackbaud Grantmaking and Wrike).
Experience with non-Western musical traditions and/or music technology.
Awareness of issues facing music education in Canada.
Understanding of the commercial music industry.
Experience working in a remote or hybrid environment.
Bilingualism in English and French.

Our office is located at 219 Dufferin Street, Toronto, ON M6K 3J1. This is a hybrid role and presence in our office will be expected approximately 2 times/ week.

Some travel within Canada will be required to fulfill the duties of this role.
