About the National Advertising Benevolent Society (NABS):

NABS is a Canadian registered charity based in Toronto, with regional offices in Vancouver and Montreal. For more than 40 years, NABS has been supporting individuals working in Canada’s advertising and media industry. We provide a range of programs and services to help people navigate career, financial and wellness challenges.

NABS is seeking a compassionate, resourceful and organized individual to join our team as Program Administrator. In this role, you’ll work closely with our Programs team, leadership and the broader community to help individuals access the guidance and support they need during challenging times.

Reporting to the Director, Programs, the Program Administrator will play an important role in delivering NABS’ mission and ensuring our community receives thoughtful, responsive and compassionate support.

Responsibilities:

Program & Workshop Administration:

In collaboration with Programs team, support planning and coordination of the annual workshop calendar, including scheduling sessions, confirming dates, and coordinating facilitators.
Ensure workshops are organized and delivered smoothly, from initial scheduling through to post-event administration.
Coordinate with facilitators, community partners, volunteers, and internal team members to ensure all program requirements are met.

Registration & Participant Management

Manage the workshop registration platform and oversee the registration process to ensure an efficient and positive participant experience.
Monitor registrations, maintain accurate participant records, and provide timely updates and reports as required.
Respond to participant inquiries and provide information and support related to workshops and programs.

Marketing & Promotions Support

Collaborate with the Marketing and Communications team to coordinate regular promotional activities.
Support the distribution of materials, announcements, and other communications designed to increase awareness and participation.

Communications & Stakeholder Coordination

Serve as a key point of contact between internal team members, managers, facilitators, participants, community partners, and external suppliers.
Ensure timely, clear, and professional communications as assigned.

Administration & Records Management

Maintain accurate and organized program, fundraising, and charitable records, documents, and databases.
Manage administrative tasks, including invoice and payment processing.
Prepare documents, reports, schedules, and other materials.
Assist with budget tracking, reporting, and other administrative duties as needed.

Qualifications & Skills

Post secondary education in Business Administration or Event Management required.
Highly organized with strong attention to detail and excellent written and verbal communication skills.
Demonstrated ability to build positive and productive relationships with participants, facilitators, volunteers, colleagues, and external stakeholders.
Strong time-management and organizational skills, with the ability to effectively manage multiple priorities, schedules, and administrative requirements.
Superior digital literacy and the ability to confidently manage online registration platforms, databases, documents, and other digital tools.
Proficient in creating professional documents, reports, presentations, and other materials.
Flexible and adaptable, with the ability to respond effectively to changing schedules and priorities, and program demands.
Creative and resourceful problem solver who takes initiative, identifies solutions, and effectively resolves challenges.
Comfortable working independently while also contributing positively to a collaborative team environment.
Previous experience in program coordination, event planning, or a related field is an asset.

Salary & Compensation

Full-time, hybrid position based in Toronto or Vancouver.
$50,000–$70,000 annual salary, commensurate with experience.
